JOB DETAILS

Title: Corporate Work Study (CWS) Operations Associate 

Reports to: Director of Operations

Location: Mission District of San Francisco

Position Type: Full-time with benefits

Salary Range: $65,000 - $75,0000


POSITION SUMMARY

The Corporate Work Study (CWS) Operations Associate supports students and families, helping to ensure their CWS experience is seamless, safe, compliant, and meaningful. This role oversees daily logistics, manages administration, schedules, and daily check-in/out. A central focus of this role is to provide 1:1 student support both proactively through professional development coaching and weekly check-ins and reactively through collaboration with partnership teams on performance and behavioral issues. This role plays a vital part in ensuring ICA students thrive in their workplace environments.


RESPONSIBILITIES

Primary duties consist of but are not limited to the following: 


Student Job Placement and Implementation

  • Serve as a student and family contact for day-to-day issues, concerns, and attendance, ensuring timely communication to the partners via the Corporate Work Study (CWS) Partnerships Team and resolution of any challenges.


  • Assist with student and family paperwork related to the Corporate Work Study (CWS) program, ensuring timely completion and compliance with program requirements.


  • Assist with collecting student job preferences and primarily manage job placements, incorporating input from the Partnerships team to ensure strong matches between students and CWS partners.


  • Collaborate with the Development and Partnerships Teams to ensure all Corporate Work Study contracts are sent, signed, and properly filed, maintaining organized records for the program.


  • Work with the Partnerships team to communicate with CWS partners as needed. 


Student Experience and Transportation Management

  • Coordinate student transportation to job sites, overseeing student check-in and check-out, and serving as a contact for transportation providers, chaperones, and transportation services.


  • Serve as a point of contact for students and families regarding CWS, communicating key updates through broader parent/family communication channels. 


  • Recommend and implement new communications processes and protocols to improve coordination with the Principal, Academic team, and Partnerships teams to communicate student absences, disciplinary, and other issues.
  • As necessary, coordinate with the Academic and Partnerships teams regarding any performance issues with students in their CWS job placement. Collaborate actively to craft the appropriate student success plans. 


Teaching 

  • Provide proactive 1:1 student support, meeting with students to understand how things are going, understand the dynamics in their workplace, and explore supervisor feedback. As appropriate, providing feedback to the Partnerships team. May include office hours, weekly meetings with the student and personalized professional development curriculum.


  • Provide reactive 1:1 student support during times of distress (e.g. incidents/issues in the workplace, patterns of poor performance in the workplace, etc). Coordinate closely with CWS Partnerships to remain aligned on the approach and communication. Consult as necessary with the Director of Operations.  


  • Assist with implementing and tracking student feedback on job sites and current CWS experience to ensure curriculum alignment with student expectations and student success. 


Reporting & Compliance Tracking

  • Assist with oversight to ensure Department of Labor (DOL) compliance and rigorous documentation of said DOL compliance.


QUALIFICATIONS

Successful applicants will demonstrate a commitment to ongoing professional growth. In addition, they will meet or exceed the following requirements:

  • Bachelor's degree 
  • Demonstrated interest or experience in education or youth development fields (coursework, internships, job experience)
  • Interest in developing student relationships and working with other departments to become involved in student life activities (extracurricular activities, athletics, etc.)
  • Outstanding documentation, written and oral communication skills
  • Highly organized, capable of balancing and prioritizing concurrent projects and deadlines
  • Exceptional attention to detail
  • Demonstrated ability to work collaboratively with others
  • Demonstrated ability to develop effective professional relationships
  • Proficiency in G Suite (or Microsoft Office Suite)
  • Preferred proficiency in Spanish a plus, but not required
