We are seeking a Customer Service Representative to join our growing team. This role serves as the central point of communication between customers, field technicians, management, accounting, and vendors to ensure service requests are handled efficiently from start to finish.

Qualifications
Education
  • High School Diploma or GED required.
Experience
  • 0-3 years Customer service, dispatching, administrative support, or service coordination experience preferred.
  • Experience working in construction, roofing, trades, property services, maintenance, or related industries is a plus.
Skills & Abilities
  • Excellent customer service and communication skills.
  • Strong organizational and multitasking abilities.
  • Ability to prioritize tasks and work efficiently in a fast-paced environment.

Key Responsibilities

Customer Service & Dispatching
  • Answer and process incoming service, maintenance, and warranty calls in a professional and courteous manner.
  • Schedule and dispatch service technicians based on workload, scheduling needs, and geographic locations.
  • Coordinate job site access and scheduling with customers, technicians, and third-party vendors.
  • Maintain dispatch boards, service schedules, and follow-up activities.
Billing & Collections
  • Review service documentation, photos, and approvals to ensure accurate billing.
  • Process and send customer invoices in a timely manner.
  • Perform collections follow-up on outstanding invoices.
  • Document collection activity and assist with lien and notice processes as needed.
  • Conduct customer courtesy calls to confirm satisfaction and address service or billing questions.
Administrative Support
  • Maintain service logs, maintenance agreements, and preventative maintenance schedules.
  • Create and manage opportunities for customers requesting proposals or estimates.
  • Assist with ordering materials and coordinating equipment deliveries.
  • Review and process technician timesheets for payroll submission.
  • Maintain accurate records and documentation.
  • Monitor office supply inventory and place orders as needed.
  • Provide general administrative and clerical support to branch operations.
