Job description

Position Summary

The Engagement Team Co-op will report to the Manager of Engagement and be responsible for supporting the organization-wide engagement programs for 4,000 employees. A successful co-op in this role will take a continuous improvement approach, taking time to evaluate current processes, and partnering with the HR Data Analytics and Operation, HR Communications, Talent Acquisition, and Learning & Development teams. ย ย 

The responsibilities in this position are wide-ranging, with many different topics and types of activities/tasks, to help spearhead HR programs. Therefore, an Engagement Team Co-op needs to be able to manage multiple projects with concurrent timelines and be very detail oriented, independent, pro-active, and organized. It is also critical for this person to be able to communicate effectively both verbally and through written and graphic media (for example, presentations or reports).ย 

The Engagement Team Co-op must have the ability to gather, organize, and present information from a variety of sources including feedback sessions, survey results, and research. This co-op may occasionally be asked to facilitate brainstorming sessions, working sessions, and decision-making conversations within and across HR teams; therefore, a successful co-op in this role will be comfortable and show skill in leading dialogues, making recommendations to people in various roles and levels, and being a good listener.ย 

This role will contribute to new and existing projects such as: Onboarding Program for MassDOT, Mentorship Program, Performance Management and Recognition initiatives, and Event Planning. ย 

Duties and Responsibilities

  • Gain familiarity with the organization-wide Engagement Events and Programs in HR in various stages of progress; get a thorough understanding of the goals of each project, the activities to be undertaken, project timelines, and the steps needed to move through the project stages.
  • Gain familiarity with processes and programs across multiple departments, related to or impacting engagement initiatives.
  • Document and analyze procedures and organizational standards for Standard Operating Procedures for Engagement programs.
  • Develop, communicate, and manage work-flow processes for projects through the use of internal tools to provide cohesion among HR staff and internal and external partners.
  • Assist in the development of workshops, focus groups, and other engagement/ideation sessions related to process reengineering and program development.
  • Participate in team meetings, department meetings, and organization events as they support HR and other departments as necessary.
  • Other Engagement related initiatives as necessary and assigned by the manager.

  • Ability to work in a dynamic deadline-oriented environment while balancing concurrent priorities and projects.
  • Strong written and verbal communication and interpersonal skills.
  • Ability to work effectively in collaborative team and independently in a hybrid work environment.
  • Research new and creative strategies to engage MassDOT employees at all levels throughout the employee experience including Onboarding, Mentorship, Alumni Programs.
  • Event planning knowledge with virtual and in-person events for as small as 10 and upwards of 300 attendees.
  • Ability to organize materials and data along with team priorities and new ideas.
  • Confidence to speak in front of a group of colleagues with or without a supporting presentation.
  • Solution-oriented attitude with excellent time management and organizational skills.
  • Big picture perspective and approach to problem-solving and strong attention to detail.
  • Experience in analytical thinking including identification of trends and patterns in qualitative or quantitative data and deduction and reasoning skills.
  • Ability to travel to state-wide MassDOT locations for meetings, events, and presentations.
  • Experience or interest in human resources, events, and/or transportation fields a plus.

At the end of the internship, the Engagement Team Co-op will have been exposed to a variety of projects and programs run by the Engagement Team. The Co-op will have gained experience managing tasks in multiple concurrent projects, institutionalizing project management processes, communicating with diverse groups of stakeholders, and interacting with personnel at many levels of a government organization. They will have had the opportunity to explore the department and the organization, to contribute to a wide variety of efforts, and to transform internal processes.
