Job description

The Legal Administrator serves as a legal support professional within Port KC's legal department. Working closely with the General Counsel, this position coordinates Board governance, legal documentation, public records, contracts/ agreements, and organizational compliance while supporting the successful execution of various programs and initiatives. The role ensures legal processes, workflows, and contractual obligations are managed efficiently and accurately in accordance with Port KC policies and standards. This role collaborates regularly with internal departments, external partners and vendors and is essential in maintaining efficient legal operations and supporting Port KC's mission.

What You Will Do
  • Provide administrative legal support to the General Counsel and legal department.
  • Prepare, format, proofread, route, and maintain legal documents, including correspondence, court filings, contracts, leases, easements, resolutions, development agreements, and other organizational agreements.
  • Support contract administration processes, including document routing, execution, tracking key dates, renewals, insurance requirements, compliance obligations, and maintaining complete contract files.
  • Maintain organized legal records, document retention systems, and official records in accordance with organizational policies and applicable public records requirements.
  • Assist with preparation of Board of Commissioners materials, including agendas, resolutions, meeting documents, and records.
  • Assist with public records requests, compliance tracking, basic legal and policy research, and preparation of supporting documentation as directed by the General Counsel.
  • Prepare reports, summaries, and other materials to support legal team.
  • Serves as a point of contact for identifying and retrieving current and historical documents.
  • Identify opportunities to improve legal administrative processes, templates, tracking systems, and workflow efficiency
  • Other duties and special projects as assigned.

What You Need To Succeed
  • Associate's degree in Paralegal Studies, Business Administration, Public Administration, or a related field preferred.
  • 3-5 years of project coordination, legal administration, executive support, or contract administration experience.
  • Experience managing confidential records and complex document workflows.
  • Strong understanding of legal document preparation and contract administration.
  • Exceptional organizational skills with the ability to manage multiple priorities and deadlines.
  • High level of discretion and ability to maintain confidential information.
  • Excellent written, verbal, and interpersonal communication skills.
  • Strong attention to detail and document accuracy.
  • Advanced Microsoft Office proficiency with experience using DocuSign and electronic document management systems.

Preferred
  • Bachelor's degree Paralegal Studies, Business Administration, Public Administration, or a certificate preferred.
  • Experience supporting attorneys, in-house legal departments, or public entities.
  • Knowledge of public meetings, governance, and records management is highly desirable.
