Job Duties
The Virginia Information Technologies Agency (VITA) is excited to offer a competitive opportunity to serve as an IT Contract Operations Administrator with the Statewide Sourcing & Category Management Directorate.
The IT Contract Operations Administrator provides operational, analytical, and administrative support to the Category Management team in the administration of complex statewide technology contracts and strategic procurement initiatives that support agencies and public bodies throughout the Commonwealth of Virginia.
Working under a Category Manager, this position supports the full contract lifecycle by performing contract administration duties, maintaining accurate and complete information in multiple supply chain systems, assisting with supplier and customer communications, and ensuring contract documentation remains accurate, complete, and compliant with Commonwealth policies and procedures.
Primary responsibilities include preparing contract modifications, executing contract renewals, maintaining contract records within eVA and CobbleStone, reviewing supplier pricing submissions and comparing pricing files, validating contract information, tracking contract activities, and preparing reports that support procurement decisions and ensure contract compliance throughout the contract lifecycle.
The position will also address contract compliance issues and ensure timely reporting and adherence to contractual requirements by the suppliers. The incumbent plays a key role in maintaining the integrity of statewide technology contracts and supporting the timely execution of contract management functions.
Responsibilities also include preparing training and outreach presentations and meeting materials, responding to customer inquiries, coordinating meetings and supplier communications, tracking action items and project deliverables, and assisting with strategic sourcing initiatives and other special projects.
The incumbent will provide responsive, high-quality administrative and operational support while interacting professionally with executive leadership, agency customers, suppliers, and internal stakeholders.
The position requires the ability to build effective working relationships while exercising sound judgment, professionalism, and excellent customer service in a collaborative team environment.
The position also supports continuous improvement efforts by assisting with the development and documentation of standard operating procedures, identifying opportunities to improve administrative processes, and utilizing Microsoft 365 applications, contract management systems, and emerging productivity technologies to improve efficiency and service delivery.
The successful candidate is intellectually curious, enjoys learning new skills, seeks opportunities to improve processes, embraces new technologies, and takes ownership of delivering high-quality work.
This role supports a dynamic and fast-paced procurement environment where priorities may shift based on contract activities, supplier requests, agency needs, and strategic initiatives.

Minimum Qualifications
Considerable work-related experience providing administrative, operational, or business support in a professional business environment, including coordinating multiple assignments, managing competing priorities, and meeting established deadlines.
Considerable work-related experience administering contracts, agreements, modifications, or other legal or business documents while maintaining accurate records and supporting compliance with established laws, policies, and procedures.
Experience coordinating projects, business initiatives, or operational activities involving multiple stakeholders while tracking deliverables, resolving administrative issues, and supporting successful outcomes.
Experience utilizing Microsoft 365 applications, including Excel, Word, Outlook, PowerPoint, and Teams, to prepare business correspondence, reports, presentations, spreadsheets, and other professional documents.
Experience analyzing, organizing, validating, and maintaining business or legal data with exceptional attention to detail and a high degree of accuracy.

Additional Considerations
Knowledge and experience with the Virginia Public Procurement Act (VPPA), the Buy IT Manual, eVA, or similar procurement laws, regulations, policies, procedures, or enterprise contract management systems.
Experience supporting executive leadership through the preparation of presentations, reports, correspondence, meeting materials, training materials, or other professional business communications.
Experience reviewing pricing information, financial data, contracts, agreements, or other business documents requiring analytical thinking, attention to detail, and accuracy.
Experience working collaboratively with internal and external stakeholders to coordinate business activities, resolve issues, and achieve organizational objectives.
Experience identifying opportunities to leverage technology, business systems, or digital tools to improve operational effectiveness and customer service.
