Job description

Our Transmission group is currently looking to add a Project Administrator to our team, based in Calgary, AB.

Reporting to the Director, Transmission Western Canada, we are seeking a detail-oriented Project Administrator to provide administrative and documentation support across the planning, execution, and delivery of large electrical infrastructure projects, including maintaining project records, tracking schedules, coordinating communications, and supporting field construction teams.

Duties and Responsibilities
  • Maintain and organize project documentation including permits, drawings, contracts, RFIs, and submittals in accordance with project filing systems and document control procedures
  • Coordinate daily site administrative functions such as visitor logs, access control records, safety sign-ins, and site orientation tracking for all field personnel and subcontractors
  • Support project managers and field supervisors by preparing correspondence, meeting agendas, meeting minutes, and action item logs for internal and client-facing communications
  • Track and process subcontractor and vendor invoices, purchase orders, and change orders, ensuring accurate coding and timely submission for approval and payment
  • Audit timesheets for cost code compliance
  • Compile and manage daily reporting to the client by compiling daily field reports
  • Coordinate crew logistics including accommodations, mobilization/demobilization schedules, per diem tracking.
  • Assist with project closeout activities including compiling as-built documentation, warranty records, final inspection reports, and turnover packages for handoff to the owner or asset management team
  • Manage the operations of the office trailers at the laydown yards

Requirements

  • Post-Secondary education in a related field
  • 3 years of experience in a project administration or coordination role
  • Previous construction industry experience
  • Strong proficiency in Microsoft Office Suite including Excel, Word, Adobe
  • Experience with document control systems and project filing

Preferred Skills / Qualifications

  • Experience supporting Electrical Infrastructure projects
