OUR CLIENT
Our client, a well established consulting firm within the construction industry in Calgary, is hiring for an Accountant or Book keeper who can also work in an Project Administrator / Executive assistant capacity to help with both the accounting and book keeping in a small firm, as well perform a range of executive assistant tasks to help with the successful delivery of project in this reputable architecture and design firm. This firm have a good reputation and excellent design work and offer a collaborative work environment.
THE ROLE

  • Book keeping of accounts payable, receivables, managing invoices
  • Provide administrative support to senior staff
  • Scheduling and coordination of meetings and events
  • Coordinating municipal submissions and responses such as applications for Site Plan Approvals and Building Permits
  • Reaching out to consultants, reviewing the quotes received for completeness, ensuring coordinating owner has signed off
  • Produce Fee letters with support from senior staff
  • Coordinating and booking meetings that are both internal and external with clients and consultants.

  • Assisting with preparation of proper project documentation and completion of paperwork such as supplemental instructions, proposed changes, field review reports, certificates for payment and response letters
  • Developing and updating project schedules in Microsoft Project or related program
  • Check voicemails, complete phone calls as required
  • Completing technical drawings in Revit when required
  • Other related tasks as required

WHAT'S REQUIRED
The Ideal candidate will possess the following qualities:

  • 6+ years of experience working as a Book Keeper or Accountant
  • Additional experience as a Project Administrator, Project Coordinator or a similar role for a firm within the construction, engineering or design industry
  • A Post-Secondary Education (diploma or degree)
  • Ability and aptitude for learning new software
  • Excellent communication and organization skills
  • Comfortable interacting with clients, contractors and consultants
  • Dedicated to meeting deadlines, attention to detail
  • Able to manage a number of tasks on multiple projects simultaneously
  • Able to provide and receive feedback positively
