Position Overview:

The Document Control Specialist is responsible for managing, organizing, and maintaining project documentation in accordance with company standards, client requirements, and industry best practices. This role supports project teams by ensuring accurate version control, timely distribution, and proper archiving of all project documents across the full project lifecycle. The ideal candidate has hands-on experience in construction document control within electrical infrastructure environments, with preference given to those with a background in data center construction, transmission & distribution, or substation projects.

Key Responsibilities

Document Management and Version Control:

  • Establish, maintain, and enforce document control procedures, workflows, and naming conventions across active projects.
  • Manage the receipt, logging, distribution, and filing of all project documents including drawings, RFIs, submittals, transmittals, specifications, and correspondence.
  • Track document revisions and maintain accurate version control to ensure project teams are working from current, approved documents.
  • Maintain electronic and printed files of working documents in accordance with outlined document control practices.
  • Ensure all documents are properly filed, stored, and easily accessible for auditing and review purposes.

Submittals, RFIs, and Project Documentation:

  • Assist in preparing and updating project documentation, including submittals and Requests for Information (RFIs).
  • Organize and manage project submittal logs, ensuring timely follow-up and compliance with project schedules.
  • Update and track the status of project submittals and RFIs, monitoring outstanding items to keep projects on schedule.
  • Coordinate with project managers, engineers, subcontractors, and clients to facilitate timely document review and approval cycles.
  • Ensure all documentation meets owner, client, and regulatory requirements.

Reporting and Communication:

  • Generate daily, weekly, and monthly projections and progress reports related to document control activities.
  • Compile data and generate reports on submittal status, RFI logs, and document action items for management review.
  • Communicate with supervisory personnel, subcontractors, and engineers to discuss and resolve documentation-related matters.
  • Coordinate communication between project teams and other departments to ensure timely resolution of document issues.

Document Control Systems:

  • Upload, organize, and maintain documents within the project management platform (e.g., Procore, Aconex, SharePoint, or similar).
  • Administer and maintain document control databases and software systems, ensuring all project data is up to date and accurate.
  • Track document control workflows, ensuring all reports, logs, and forms are completed in a timely manner.
  • Train field and office staff on document control processes and system usage as needed.

Project Closeout:

  • Support project closeout by compiling and organizing final as-built documentation, O&M manuals, and turnover packages.
  • Receive, compile, and review completed project documentation to ensure accuracy and completeness prior to turnover.
  • Assist in the organization of data into Project Completion Tracking documents.

Qualifications:

  • Experience: 2–5 years of document control experience in a construction environment, preferably within electrical infrastructure, power delivery, or industrial construction.
  • Technical Proficiency: Proficiency with document management systems (Procore, Aconex, SharePoint, or equivalent) and Microsoft Office Suite (Word, Excel, Outlook).
  • Communication Skills: Excellent written and oral communication skills.
  • Multi-tasking Ability: Must be able to handle multiple tasks simultaneously and prioritize work effectively.
  • Adaptability: Must be able to work in a fast-paced environment, switch directions as needed, and demonstrate adaptability.
  • Education: High school diploma or GED required. Associate's or Bachelor's degree in Construction Management, Business Administration, or a related field is preferred.
  • Compliance: Must pass mandatory drug and alcohol screenings.

Preferred Qualifications:

  • Experience supporting data center construction, transmission & distribution (T&D), or substation projects.
  • Familiarity with electrical construction workflows and terminology.
  • Previous experience at a Quanta Services company or similar electrical infrastructure contractor.
  • Experience with project closeout and turnover documentation packages.
