Summary
The SERVPRO Construction Coordinator is responsible for facilitating the smooth execution of construction projects by coordinating and overseeing various aspects of construction projects including customer communications, project tracking & coordination, acquiring permits, assisting with estimates, and auditing projects. General office duties, such as drafting correspondence, filing, and creating reports, are also included within this role.
Primary Roles and Responsibilities
  1. Customer Satisfaction; Assist with customer service and management of the customer experience, Monitor and ensure client requirements are followed, Assist with scheduling all activities.
  2. Project Initiation; Enter lead/jobs into the operating system and make sure all information in the project is correct, Schedule CM initial visit with customer, Educate customers on process, Review and validate project file documentation.
  3. Project Planning; Confirm with CM project scope of work is complete, maintain customer and client communications and ensure all documents are complete, support CMs ensuring customer and client agreement on scope and estimate.
  4. Ensure estimates are distributed to all necessary parties.
  5. Interface with Subcontractors for availability.
  6. Sign up new Subcontractors and maintain insurances and licensing.
  7. Issue POs based on project budget.
  8. Acquire proper permits as necessary and ensure all correct procedures are being followed with local municipalities.
  9. Schedule inspections with building departments.
  10. Project Execution; Update budgets, order project materials and supplies, update project schedule and timeline, assist with qualifying subcontractors, validate completed PO documentation, update contract status with change orders and keep customer and client informed, maintain Work-in-Progress (WIP) report, maintain internal and external communications, prepare project reports, upon project completion review file documentation and update as necessary, assist with collections activities, perform project close-out.
Qualifications and Skills
  • A minimum three years of office experience in the construction, HVAC, or Roofing industry highly preferred.
  • Associates/bachelors degree in the construction, engineering, architecture, or related field highly preferred
  • Proficiency in current business software technologies including Microsoft Office and project management software.
  • Strong communication and interpersonal skills, with the ability to collaborate effectively with diverse stakeholders.
  • Detail oriented with a focus on accuracy and quality.
  • Ability to adapt to changing priorities.

  • Clean driving record
Physical and Work Environment Requirements
This is a largely sedentary role in a fast paced office environment.  Light lifting, bending, standing, and occasional driving required.
Normal Working Hours, Additional Working Hours, and Travel Requirements
This is a full-time position, working Monday through Friday. This position may require longer hours in support of emergency services, and some flexibility in hours may be needed dependent upon the business needs.
