Executive Director & Association Management Services (Contract / RFP)

Organization: Washington School Nutrition Association (WSNA)

Location: Remote / Hybrid (Washington State — Requires in-state travel for board retreats, workshops, and annual conferences)

Position Type: Independent Contractor / Association Management Company (1099)

Contract Term: Initial 1-Year Contract (October 1, 2026 – September 30, 2027), with annual renewal options

Compensation: Fee-for-Service / Retainer-based (To be proposed by applicant in Appendix A pricing response)

About the Washington School Nutrition Association (WSNA)

The Washington School Nutrition Association (WSNA) is a 501(c) non-profit statewide professional association and state affiliate of the national School Nutrition Association (SNA). Representing nearly 2,000 members with an operating budget of ~$300,000, WSNA is dedicated to supporting and empowering school nutrition professionals who nourish Washington students every day.

Position Overview & Scope of Services

WSNA is seeking proposals from qualified individuals, independent consultants, or Association Management Companies (AMCs) to provide Executive Director and Association Management Services on a fee-for-service basis. Reporting directly to the volunteer-led Executive Board, the contractor will manage day-to-day operations, financial stewardship, member services, event logistics, and strategic plan execution.

Key Core Responsibilities:
  • Executive Leadership & Governance Support: Serve as the primary administrative liaison to the Board; prepare meeting agendas, board packs, and official minutes; support leader transitions, elections, bylaw updates, and implementation of the 2026–2028 Strategic Plan.
  • Financial Administration & Operations: Manage A/P, A/R, bank reconciliations, invoicing, expense processing, monthly board financial reporting, annual budget development, and tax/audit prep. Maintain headquarters operations and official historical archives.
  • Membership Services: Oversee membership databases for ~2,000 members, act as liaison to national SNA, lead annual renewal/recruitment campaigns, and support member recognition/scholarship programs.
  • Events, Conferences & Workshops: Provide end-to-end planning and on-site management for major statewide events (some events require mandatory in-person attendance)
  • Website & Communications Administration: Maintain the WSNA website, manage broadcast email lists, post announcements, update governance content, and coordinate routine event communications.
  • Industry Relations & Sponsorships: Coordinate sponsor fulfillment, maintain vendor database, manage exhibit hall space, and identify strategic sponsorship growth opportunities.
  • (Optional / Preferred Services: Applicants may also propose optional add-on services for social media management, graphic design, and Apple Press e-newsletter design/production).

Required Qualifications
  • Experience: Minimum of 2 years in non-profit association management, executive leadership, or contract management.

  • Core Skills: Demonstrated mastery in financial management/budgeting, membership software/database administration, board governance, conference/tradeshow logistics, and website administration.
Preferred Qualifications:
  • Prior experience in school nutrition, K–12 education, or public child nutrition programs.
  • Credentials such as Certified Association Executive (CAE) or School Nutrition Specialist (SNS).
  • Proven track record in strategic planning facilitation and sponsorship program growth.
