Executive Assistant

The Windfall is partnering with a Global Fashion House seeking to hire an Entrepreneurial Minded Executive Assistant to support a Confidential Executive. This opportunity requires the Executive Assistant to be a true business partner and extension of the Executive. This role requires travel and presence in the office five days a week. The company is an established institution while continuing to grow, and the Executive needs a highly skilled and hungry candidate to manage their office, support their UHNW clients, be heavily involved in company events, Roadshows, project management and much more. This is a great opportunity for an incredibly smart and savvy candidate seeking a very fast paced, high visibility role in the fashion industry! The ideal candidate is someone who is keen to hit the ground running, grow the role and take on more responsibilities over time as the company expands. The successful candidate will be highly organized, have extreme attention to detail and follow up, capable of learning new technologies quickly, be extremely discreet, confidential and will be excited about joining an established company at a pivotal growth time! This role is working in office Monday-Fridays 8/8:30-6/6:30 with the flexibility to be available after office business hours and travel for the needs of the business.

Responsibilities:

  • Meeting Preparation: Prepare Executive for meetings; draft documents; collaborate with others to ensure correct attendees are included, clarifying objectives, agendas, outcomes, and follow ups
  • Travel: Coordinate travel, track relationship touch points, international and domestic travel arrangements both commercial and private, detailed itineraries, hotel, transportation, ground transportation, events and restaurant reservations
  • Event Management: Oversee large scale, company wide events, award dinners, Client appreciation events, board meetings. Collaborate with team members on event planning and execution while owning the process
  • Organization-including maintaining group schedules, coordinate calls and events, help track deliverables and keep track of key dates on calendar, materials for board meetings, Client presentations, etc.
  • Presentations and Reports: maintain library of reports and analysis and take requests for data
  • Work expertly on a PC in Office & Excel Spreadsheets, creating charts and graphics to input in reports and analyses.
  • Heavy travel and expense coordination
  • S&O: Special Projects: Conduct research, develop policies, implement systems and procedures, and support cross-department collaboration
  • Personal work as needed for Executive and team
  • Calendar and Time Management: Examine Executive's priorities regularly and strategically manage their calendar
  • Ad hoc projects as needed

Requirements:

  • Bachelor's degree from an accredited institution
  • Excellent oral and written communication skills
  • Extremely strong organizational skills
  • Proficiency in PC & MS Suite
  • 5+ years experience in an administrative role, preferably in financial services, Luxury good or a similar corporate environment
  • Love and knowledge of the fashion industry
  • Strong work ethic
  • Impeccable attention to detail
  • Proactive, Reliable, Resourceful
  • Ability to prioritize multiple tasks
