Job description

UVA Enrollment seeks an Administrative Specialist - Commonwealth Partnerships to provide comprehensive administrative and logistical support. This role is essential in ensuring the smooth coordination of travel, event planning, scheduling, and general administrative operations.
The Enrollment division at UVA includes the Office of Undergraduate Admission, the Office of the University Registrar, Student Financial Services, and Commonwealth Partnerships. This position will support the Commonwealth Partnerships unit, which includes All Virginia, Community College Partnerships, and the AdviseVA program. The Administrative Specialist will join engaged, innovative colleagues working collaboratively to compete for talented students from all walks of life and to care for students from their first interaction with the University through Final Exercises and beyond.
Responsibilities
  • Coordinate and manage travel logistics, including rental car and hotel reservations, for department staff.
  • Arrange event logistics such as space reservations, catering orders, technology needs, and vendor communications.
  • Schedule and manage group meetings and appointments, including room reservations and calendar coordination.
  • Coordinate the usage of the UVA Enrollment motorcoach bus, including managing communication and logistics planning with Parking & Transportation
  • Maintain accurate records and documentation related to travel, event planning, and operational needs.
  • Serve as a liaison with internal campus partners and external vendors to support departmental activities.
  • Assist with procurement of goods and services, including placing orders and tracking deliveries.
  • Perform general administrative duties such as data entry and file maintenance.
  • Other duties as assigned in support of Commonwealth Partnerships and UVA Enrollment goals.

Minimum Qualifications
  • Education: High School Diploma or equivalent required.
  • Experience: 1+ year of relevant experience required.

Preferred Qualifications
  • Associate's degree or higher preferred.
  • Two or more years of administrative or office support experience is preferred.
  • Previous work in a higher education or similarly complex environment is ideal.
  • Proficiency in Microsoft Office Suite and other relevant software tools.
  • Familiarity with travel booking systems and event management platforms is a plus.

The ideal candidate demonstrates exceptional organizational and time management skills, strong attention to detail, and the ability to effectively manage multiple priorities and competing deadlines. They work successfully both independently and collaboratively while exhibiting excellent verbal and written communication skills.
Physical Demands
This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
Hiring Range: $52,000 - $55,000 annually, commensurate with education and experience.

  • This is a restricted position, which is dependent on funding and is contingent upon funding availability.
  • This position is based in Charlottesville, VA, and is eligible for a hybrid schedule, with additional on-site presence as needed, after required in-person training and in accordance with UVA's remote work guidelines.
