Job description

Field Service Coordinator
$68,000-$78,000/yr
The purpose of the Field Service Coordinator for the Water and Wastewater department is to support the whole department with scheduling, procurement, coordination, field preparation, customer service, invoicing, cost reporting and departmental finance. Prepare weekly active project list and status along with costs and labor details. Present weekly report to both teams jointly and individually. Contact customers to collect details regarding purchase orders, shipping, billing, scheduling, and site access. Assist team members with weekly, monthly, and quarterly scheduling, cancellations, and schedule changes. Assist with maintaining field instruments and equipment by managing repairs and maintenance. Support laboratory courier pickups and relinquish chain of custody documents.
Reporting
The Field Service Coordinator will report to the Water and Wastewater Manager
Duties and Responsibilities
  • Plan and prepare weekly, monthly, and quarterly schedule for the department
  • Answer phones and doors, receive packages using receiving procedures
  • Update and present weekly project progress, budget, labor, and material costs
  • Contact customers on scheduling and feedback
  • Update work order platform with field assignments and customer information
  • Prepare, submit, track, input payments, follow up on invoice aging
  • Procure materials and monitor delivery
  • Contact customers with updates on scheduling and billing
  • Work with accounting team to maintain customer terms
  • Maintain department inventory
  • Keep office area and lab clean and tidy
  • Keep workspace clean and organized
  • Laboratory tasks as needed (setting up bottles, restocking field kits, cleaning and maintaining field equipment, etc.)
  • Other tasks and projects as needed and directed by department manager

Qualifications
  • Education: Bachelor's degree in business administration or related program
  • Coordinator shall have a minimum of five years of experience project coordination
  • Strong organizational skills
  • Strong Excel and Microsoft Suite experience
  • Strong accounting and finance understanding and reporting
  • Exquisite interpersonal, written, and oral communication skills
