Job Title: Lockbox Processing Specialist
Department: Lockbox
Reports to: Lockbox Manager
Status: ☐ Exempt ☒ Non-Exempt
About the Role
The Lockbox Processing Specialist will be expected to assist with Lockbox business operations including envelope extraction, document scanning, transaction data entry, batch review and documentation, reject review, and mail desk responsibilities. Additional duties include pulling down reports and files from the Bank's website or third-party websites. The Lockbox Processing Specialist may perform additional tasks or assist with projects as assigned by the Lockbox Supervisor and/or the Lockbox Administrator.

Schedule: Monday - Friday, 8:00 AM - 5:00 PM

What You'll Do

  • Receive and sort mail from the United States Postal Service
  • Open mail and prepare batches for assigned accounts based on customer processing instructions and departmental procedures
  • Maintain the document imaging process including prepping, scanning, and verification of documents
  • Retrieve files from various sources and import them into the Lockbox database using Lockbox software
  • Meet quality and quantity objectives as determined by management
  • Communicate effectively with customers via email and phone
  • Ensure compliance with HIPAA and HITECH requirements for Healthcare Lockbox processing
  • Demonstrate professionalism in communication, attitude, and teamwork
  • Adhere to Company Policies and Procedures, Safety Regulations, and applicable laws
  • Attend required training and maintain knowledge of regulations applicable to financial institutions, including BSA/AML/CIP, Consumer Privacy, Regulation CC, Information Security, Bank Protection Act, FACT-Identity Theft, IT, and GLBA
  • Perform additional duties as assigned related to the position
