Job description

Technology & Business Systems Administrator

Position Summary 

The Technology & Business Systems Administrator is responsible for the administration, optimization, integration, and continuous improvement of the technology platforms that support On Point Holdings and its affiliated entities. This role serves as the primary owner and internal champion of the Company's business systems, ensuring employees, leaders, and customers are supported by efficient, scalable, and well-integrated technology solutions. 

The Technology & Business Systems Administrator partners closely with HR, Sales, Operations, Finance, Marketing, and Leadership to manage core business applications, employee technology resources, software integrations, automation initiatives, reporting tools, and AI adoption efforts. This individual will play a critical role in helping the organization scale through smarter systems, improved workflows, enhanced reporting visibility, and strategic use of technology. 

Reporting Structure 

This position reports to Leadership and works closely with stakeholders across all On Point Holdings entities. 

Compensation Range 

$65,000 – $75,000 annually 

Compensation will vary based on experience, technical expertise, software administration capabilities, systems integration knowledge, automation experience, and overall ability to support and optimize the Company's business applications and technology platforms. 

Location

This position is based in Southeast Wisconsin and follows a hybrid work arrangement. Employees are expected to work onsite at the Company’s Waukesha office regularly, with additional in-person meetings, training sessions, or business needs requiring onsite attendance from time to time.


Candidates must reside within reasonable driving distance of the Milwaukee metropolitan area and be available to support onsite collaboration, equipment coordination, vendor interactions, and other business operations as needed.


As the Company continues to grow and establishes a permanent office location, this position is expected to transition to a full-time onsite role.


Key Responsibilities 


Technology Systems Ownership & Administration 

• Serve as the primary administrator, owner, and internal champion for the Company's technology ecosystem, including HubSpot, Mapsly, Zuper, Rippling, Microsoft 365, QuickBooks, phone systems, customer-facing platforms, and other business-critical applications 

• Maintain system configurations, user permissions, licensing, workflows, automations, integrations, security settings, and overall platform health 

• Evaluate, recommend, and implement technology solutions that improve operational efficiency, employee productivity, customer experience, and business scalability 

• Manage software licensing, vendor relationships, renewals, system utilization, and technology-related operational processes 

• Coordinate with managed service providers, software vendors, implementation partners, and other technology resources as needed 

• Ensure all business systems are secure and secure and compliant with insurance requirements


Employee Technology & HR Systems Partnership 

• Partner closely with HR to support the technology components of the employee lifecycle, including onboarding, offboarding, role changes, and employee technology support 

• Administer employee accounts, system access, Microsoft 365 licensing, security groups, email configuration, and application permissions 

• Manage employee technology provisioning, including laptops, mobile devices, software access, equipment tracking, shipping, retrieval, and replacement processes 

• Support and optimize Rippling administration, employee workflows, and system integrations related to onboarding, employee records, and operational processes 

• Maintain documentation, technology standards, onboarding resources, and employee technology guides 

CRM, Operations & Business Process Management 

• Maintain CRM data integrity, workflows, automations, reporting, pipelines, dashboards, and user adoption 

• Support sales enablement initiatives and process improvements across customer-facing functions 

• Identify opportunities to streamline workflows, eliminate duplicate processes, and improve collaboration across departments 

• Improve visibility and consistency of operational data throughout the organization 

Automation, AI & Systems Integration 

• Lead the evaluation, implementation, and adoption of AI tools and automation solutions that improve efficiency and reduce administrative burden 

• Identify opportunities to automate manual processes across HR, Sales, Service, Operations, Finance, Marketing, and Leadership functions 

• Design, manage, and improve integrations between business systems to ensure accurate data flow and reduce duplicate entry 

• Research and recommend emerging technologies that support organizational growth and operational effectiveness 

• Develop standards and best practices for technology utilization and automation adoption 

Reporting & Business Intelligence 

• Partner with leadership teams to develop reporting dashboards, KPI visibility, and operational scorecards 

• Build and maintain dashboards that support strategic decision-making and organizational performance measurement 

• Assist with reporting standardization, data cleanup, and business intelligence initiatives 

• Monitor system utilization, reporting accuracy, and opportunities for process improvement 

• Support leadership with ad hoc reporting and technology-enabled operational insights 

Qualifications 

• 3+ years of experience administering business systems, CRM platforms, technology applications, or operational software environments 

• Experience with HubSpot, Microsoft 365 licensing, HRIS systems, QuickBooks, CRM platforms, or similar business systems preferred 

• Experience managing software integrations, workflow automation, or process improvement initiatives preferred 

• Strong technical aptitude and ability to learn and administer multiple software platforms 

• Strong organizational skills and attention to detail 

• Ability to manage multiple projects, priorities, and stakeholders simultaneously 

• Strong communication skills and customer-service mindset 

• Ability to work independently in a fast-paced, growth-oriented environment
