Job description

Position Summary

We are seeking a dependable, detail-oriented Bookkeeper Assistant to support the bookkeeping and financial organization needs of our tax resolution firm. This position involves a significant amount of data entry, high-volume/mass transaction entry, financial record organization, and bookkeeping support.

The ideal candidate is accurate, efficient, organized, and comfortable entering and reviewing large volumes of financial data while maintaining a high level of accuracy. This person must also be able to handle sensitive client and financial information with professionalism and confidentiality.

Key Responsibilities

  • Perform high-volume data entry and mass entry of financial transactions into QuickBooks, spreadsheets, and other accounting systems.
  • Enter and categorize large volumes of bank, credit card, income, and expense transactions accurately and efficiently.
  • Assist with bulk transaction entry, historical bookkeeping entry, and bookkeeping cleanup projects.
  • Review entered data for accuracy, completeness, duplicates, and inconsistencies.
  • Reconcile bank and credit card accounts.
  • Organize client income, expense, bank, and other financial documentation.
  • Assist with preparing and updating Profit & Loss Statements, Balance Sheets, and other bookkeeping reports.
  • Maintain accurate bookkeeping information in QuickBooks Online or other accounting software.
  • Assist with importing, reviewing, categorizing, and correcting transaction data.
  • Identify missing documents, uncategorized transactions, unreconciled accounts, and bookkeeping discrepancies.
  • Maintain organized digital client files and financial records.
  • Assist with accounts payable and accounts receivable as needed.
  • Support catch-up and cleanup bookkeeping for clients with several months or years of financial activity.
  • Enter information from bank statements, credit card statements, spreadsheets, receipts, and other source documents.
  • Communicate with team members regarding missing financial information or documentation.
  • Assist with gathering and organizing financial information needed for tax preparation and tax resolution cases.
  • Follow established data-entry, bookkeeping, and quality-control procedures.
  • Protect confidential client, tax, and financial information.
  • Perform additional bookkeeping and administrative duties as assigned.

Qualifications

  • Previous bookkeeping, accounting, administrative, or high-volume data-entry experience preferred.
  • Strong and accurate 10-key, numeric, and financial data-entry skills.
  • Ability to enter large amounts of information efficiently without sacrificing accuracy.
  • Familiarity with QuickBooks Online is strongly preferred.
  • Basic understanding of bookkeeping principles, including income, expenses, assets, liabilities, and account reconciliation.
  • Strong attention to detail and ability to identify errors or inconsistencies.
  • Excellent organizational and time-management skills.
  • Comfortable working with numbers, spreadsheets, and financial documents.
  • Proficiency with Microsoft Excel, Google Sheets, and common office software.
  • Ability to manage multiple client files and meet deadlines.
  • Strong written and verbal communication skills.

Preferred Experience

  • Experience working in a tax preparation, tax resolution, accounting, or bookkeeping firm.

  • Experience entering transactions from bank and credit card statements.
  • Experience working with CSV files, Excel spreadsheets, and QuickBooks imports.
  • Familiarity with financial documents such as bank statements, payroll reports, Profit & Loss Statements, and Balance Sheets.
  • Experience supporting clients with incomplete or disorganized bookkeeping records.
