Job description

This role performs a variety of clerical duties in maintaining Unaccompanied Minor (UC) Residential program files. Provides administrative assistance to various roles within the UC program. Maintains personnel files according to Wedgwood and ORR policies, including initial and updated background check completion and documentation.

RESPONSIBILITIES:

  • Proofread all typed materials for accuracy, making corrections as necessary and distributing information to the appropriate person/location as instructed.
  • Tracking service plans, obtaining signatures and mailing/faxing to required agencies/legal guardians.
  • Meeting and room scheduling.
  • Filing, creating case files and maintaining client records (paper and electronic).
  • Client Records: Maintain accurate databases for required daily census and roster reporting. This could also include possible Anasazi support. This may include follow-up with homes regarding information given and the accounting department.
  • Track demographics and surveys for UC program.
  • Regular participation in supervision meetings and team meetings for the sharing of ideas, feedback, and department planning.
  • Coordinate and document required background check requests and results in personnel files.
  • Conduct quality assurance reviews to ensure background checks are submitted completely and accurately prior to submission and within the required timeframes and deadlines.
  • Collaborate with onboarding HR staff to ensure background checks are completed timely and completely, and track for any annual renewals or follow up needed.
  • Coordinate with staff to ensure ORR vaccination requirements are met at hire and annually. Candidate will be required to affirm additional agency confidentiality agreement due to the sensitive nature of health information collected from program staff.
  • Coordinate with the lead medical coordinator/nurse to ensure all health service provision requirements are met.

GENERAL

  • Work collaboratively with the treatment team on admissions and program needs.
  • Responsible for timely Quality Assurance compliance as related to employees roles and functions.
  • Express ideas, suggestions, and concerns in a timely and appropriate manner, using established channels and chains of command; promote and encourage the resolution of problems and disputes through open and honest communications.
  • Regular, predictable, and reliable attendance is an essential function of this position. The employee must maintain a consistent work schedule and be available during the assigned hours to perform the duties of this role.
  • Other duties as assigned.

QUALIFICATIONS:

  • High school diploma or equivalent degree; AND
  • Minimum three years employment experience;
  • Must has base technical skills in Microsoft applications, including Excel, Word, Adobe, and Smartsheet's;
  • Must have good communication and project management skills.
  • Subscription to the Statement of Faith of Wedgwood Christian Services and agreement with the goal, purpose and objectives of the agency.

HOURS OF WORK: Monday- Friday, 8:30a-5p
