What is ATS implementation?

ATS implementation refers to the process of setting up and integrating an Applicant Tracking System (ATS) within an organization’s recruitment workflow. This involves configuring the software to meet the company’s needs, importing or migrating data, training users, and ensuring smooth adoption among HR staff and hiring managers. A successful ATS implementation helps streamline recruitment, improve candidate management, and enhance reporting capabilities. Proper planning and customization are important to fully realize the benefits of an ATS.

What are the key skills and qualifications needed to thrive in ATS implementation?

To excel in ATS Implementation, you need a solid background in HR processes, project management, and technical aptitude, often supported by a degree in HR, IT, or business. Familiarity with leading applicant tracking systems (such as Greenhouse, iCIMS, or Workday), data migration tools, and relevant certifications like PMP or SHRM-CP are highly beneficial. Strong communication, problem-solving, and stakeholder management skills help professionals effectively gather requirements and ensure a smooth rollout. These competencies are essential to deliver seamless integrations, maximize system adoption, and support efficient recruitment workflows.

What are some common challenges faced during ATS implementation, and how can they be effectively managed?

One common challenge in ATS (Applicant Tracking System) implementation is ensuring seamless integration with existing HR systems and workflows. This often requires close collaboration with IT and HR teams to map out data migration and compatibility. Another challenge is user adoption—training staff to use the new system efficiently and addressing resistance to change is crucial. Clear communication, comprehensive training sessions, and ongoing support are essential strategies to overcome these hurdles and ensure a smooth transition.

Job description

Description
Engagement Overview
This engagement supports a Hueman client, a national healthcare organization providing value-based, in-home care to patients with chronic conditions across more than 30 states. Hueman People Solutions has been engaged to assess and implement Workable Premier as the applicant tracking and candidate relationship management platform behind a recruitment process outsourcing program. Hiring spans licensed clinical roles credentialed across state boards, high-volume patient engagement roles, and corporate and specialist positions.
This contractor leads the technical and advisory substance of the engagement. In Phase 1, the contractor evaluates Workable against the client requisition mix, the UKG-integrated offer and onboarding flow, and the RPO delivery model, then produces a fit and gap report and a solution blueprint. In Phase 2, the contractor owns the design integrity of the build, directing the configuration and integration contractors against the approved blueprint, coordinating delivery across workstreams, and designing and delivering the training and adoption package.
A Hueman executive sponsor owns the client relationship, deliverable acceptance, and scope arbitration. This contractor is the senior delivery authority beneath that sponsor.
Scope of Work and Deliverables
Fit and gap assessment. Conduct discovery, confirm requirements against stated client priorities, evaluate Workable Premier hands-on in a trial or sandbox environment, and rate each requirement green, watch, or gap with supporting evidence.
Solution blueprint. Design the specific resolution for every watch or gap item through configuration, add-on, or integration, including RPO account structure, permissions model, nurture design, reporting architecture, and the integration inventory.
Total cost of ownership analysis. Validate all-in annual cost across the base subscription, AI sourcing licensing, video interviewing, texting, and seat counts, and produce a three-year view.
Executive readout materials. Prepare the design gate readout and supporting analysis, and participate in the presentation to client leadership alongside the Hueman executive sponsor.
Design governance. Review and approve configuration, integration, and reporting builds against the blueprint, adjudicate design questions, and escalate any change to approved design to the executive sponsor.
Delivery coordination. Maintain the integrated project plan across workstreams, track milestones and dependencies, and provide weekly milestone and risk reporting to the executive sponsor.
UAT coordination. Coordinate the user acceptance testing cycle, maintain the defect log, track resolution to closure, and prepare sign-off documentation.
Training design and delivery. Design and deliver role-based training for Hueman recruiters and client hiring managers covering requisition creation and approval, pipeline management, CRM and nurture usage, AI sourcing tools, and reporting access.
Enablement materials and adoption plan. Produce quick-reference guides, job aids, and recorded walkthroughs, and deliver an adoption plan defining post go-live reinforcement, usage measurement, and escalation paths.
Go-live support. Provide senior escalation support through cutover and the two-week hypercare period.
Required Qualifications
• Eight or more years implementing or advising on applicant tracking and talent acquisition technology, including at least three full lifecycle ATS implementations from requirements through go-live.
• Direct hands-on configuration experience with Workable, or with a comparable mid-market to enterprise ATS such as Greenhouse, Lever, iCIMS, SmartRecruiters, or Jobvite, with demonstrated ability to become productive in Workable quickly.
• Demonstrated experience designing ATS architecture for a staffing, RPO, or agency delivery model, including multi-account or multi-client permissions and reporting structures.
• Working knowledge of HCM integration patterns, particularly requisition sync and new hire data transmission between an ATS and a core HCM such as UKG, Workday, or ADP.
• Experience producing client-facing assessment deliverables, including gap analyses, solution designs, and executive-level readouts.
• Demonstrated experience designing and delivering end-user training for a software rollout, including materials development and live or virtual facilitation.
• Experience maintaining a multi-workstream project plan and coordinating user acceptance testing to sign-off.
• Ability to work independently against defined deliverables with limited day-to-day direction.
• Established business entity or sole proprietorship with the ability to invoice, and general liability and professional liability coverage or willingness to obtain it.
Preferred Qualifications
• Healthcare or clinical hiring experience, including familiarity with multi-state licensure and HIPAA-aware workflow design.
• Prior experience configuring Workable Premier specifically, including AI sourcing, referral platform, and video interview modules.
• Experience with high-volume or continuous-requisition hiring programs such as call center or patient engagement environments.
• SHRM-SCP, SPHR, or equivalent certification.
Contractor Terms
• This is an independent contractor engagement. The contractor is not an employee of Hueman People Solutions and is not eligible for employee benefits, paid time off, or unemployment or workers compensation coverage through Hueman.
• The contractor determines the means, methods, sequence, and schedule of the work, subject only to the deliverables, acceptance criteria, and milestone dates set out in the statement of work.
• The contractor supplies their own equipment, software, and workspace, except where client system access must be provisioned by the client organization.
• Compensation is paid against invoices submitted per the statement of work. A Form W-9 is required before the first payment and a Form 1099-NEC will be issued.
• The contractor is responsible for all applicable federal, state, and local taxes, including self-employment tax.
• The engagement has a defined end date. It does not create an expectation of continued or renewed work, and the contractor is free to perform services for other clients during the term, subject to the confidentiality and conflict provisions of the agreement.
• Execution of a confidentiality agreement and a business associate agreement is required prior to system access, given exposure to systems adjacent to protected health information. All work product is delivered as a work made for hire to Hueman People Solutions.
