Under general supervision and following established procedures, the Associate Project Coordinator will handle and follow through on customers' requests for service and product information in support of sales activity. Processes orders for products received by mail, telephone, or personally from customer or company employee.
Partial Position Summary
ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE THE FOLLOWING. OTHER DUTIES MAY BE ASSIGNED.
  • Writes, types, and edits orders daily. Requires for data to be accurately entered into computer, to provide clarity to team members and to calculate total costs for internal reporting.
  • Edits existing orders with updates and alterations and verifies that the most current specifications are submitted to all relevant internal teams.
  • Ensures that all customer documents are accounted for, documented, and responded to.
  • Participates in daily and weekly team meetings. Manages daily notes effectively.
  • Determines production routing of custom orders according to specifications from Design and machine capabilities.
  • Confers with production, sales, shipping, and warehouse staff to expedite orders and trace missing or delayed shipments. Provides status updates to appropriate teams, as needed.
  • Provides clarity to team members by entering accurate information into ERP, customer online portals, and Project Management systems.
  • Provides some administrative support and service for Sales and Management as needed.
  • Occasionally communicates via phone/email with customer to ensure information is managed.
  • Expedites "hot" orders.
  • Records or files copies of orders.
  • Assists in inventory control and notifies appropriate departments of orders that would deplete stock.
  • Interfaces with Account Managers and Estimating to establish pricing.
  • Interfaces with Accounting to assure accuracy in invoicing.
  • Interfaces with other team members to understand order base, projects and customer requirements.
  • Interfaces with Project Management and Scheduler to gain understanding of production schedule.
  • Interfaces with Designer to assure project sign off for all Instore design specs are accurate to customer documents and order.
  • Provides back up to Project Coordinators, as needed.
  • Assists in investigating and resolving routine requests and customer complaints.
  • Compiles statistics and prepares various reports for sales and management.
  • Performs a variety of miscellaneous tasks that may be assigned by management representatives from time to time.

KNOWLEDGE, SKILLS AND ABILITIES
  • High school diploma or general education degree (GED).
  • Previous manufacturing and/or printing industry experience is beneficial but not required.
  • A commitment to ethical business standards and personal integrity.
  • Self-motivation and ability to work with minimal supervision.
  • Accuracy in work and strong attention to detail.
  • Excellent interpersonal communications skills in oral and written format.
  • Excellent telephone skills and etiquette.
  • Demonstrated ability to work effectively with internal teams, and the ability to convey a positive and professional image of service and support to employees at all levels of responsibility in the company.
  • Proficient in Microsoft Office software (Word, E-mail, and Excel) spreadsheet applications. Exposure to other computer software as needed.
  • Familiarity with, and ability to use and interpret, Internet/Intranet information.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent.
  • Ability to understand internal pricing procedure.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret production schedule, various instructions furnished in written, oral, or diagram format.
  • Ability to maintain confidentiality of sensitive and confidential company and employee/employment related information.
  • Approachable and supportive when working with others.
  • Ability to define problems, collect data, establish facts and draw conclusions.
