Medicine Fellowship Program Coordinator
Position Summary
The Fellowship Program Coordinator supports the administrative and operational functions of accredited fellowship programs within the Department of Medicine. This position serves as a key resource for program leadership, faculty, fellows, residents, and institutional stakeholders by coordinating recruitment, accreditation, evaluations, educational activities, and trainee support.
Key Responsibilities
Program Administration
- Provide administrative support to Program Directors, Associate Program Directors, Fellowship Associate Program Directors, the Education Programs Administrator, faculty, fellows, and residents.
- Coordinate meetings, orientations, educational events, retreats, graduation activities, holiday celebrations, end-of-year events, and departmental functions.
- Maintain confidential trainee records, program documentation, reports, and correspondence.
- Assist with examinations, program communications, and special projects.
- Support additional education programs and departmental initiatives as assigned.
Recruitment, Accreditation & Trainee Support
- Coordinate all phases of the fellowship recruitment process, including ERAS and NRMP activities.
- Schedule interviews and support applicant review, ranking, onboarding, and post-match activities.
- Maintain compliance with ACGME requirements and assist with accreditation reviews and site visits.
- Coordinate evaluations, credentialing documentation, board eligibility records, and licensure requirements.
- Assist fellows with program policies, leave requests, and administrative needs.
- Maintain program databases, reports, and accreditation records.
Minimum Qualifications
Education
- Bachelor's degree preferred.
Experience
- Minimum of three (3) years of administrative, office management, program coordination, or related experience required.
- Experience in an academic healthcare environment preferred.
- Experience as a Residency Coordinator, Fellowship Coordinator, or working within a Graduate Medical Education (GME), residency, or fellowship program setting is strongly preferred.
- Experience with ERAS, NRMP, ACGME, WebADS, New Innovations, or similar systems is a plus.
Skills
- Strong organizational, communication, and project management skills.
- Ability to manage multiple priorities and deadlines in a fast-paced environment.
- Ability to maintain confidentiality and exercise sound judgment.
- Proficiency with Microsoft Office Suite and database management systems.
Physical Requirements
- Walk, bend, twist, and reach above the shoulder frequently in an office setting.
- Must be able to occasionally lift, carry, push, or pull up to 20 lbs. as part of the role.
- Regularly exposed to healthcare settings that may require personal protective equipment.
- Requires manual dexterity to operate a computer keyboard, calculator, copier machine, and other office equipment.
