The Transportation Coordinator I supports Medica's transportation services by processing and coordinating non-emergency transportation and transit benefits for members. This role provides administrative support for the Provide-A-Ride program through the management of transportation requests, bus pass fulfillment, transportation authorizations, and communication with internal teams and transportation vendors to help ensure members receive timely access to services.

This position is highly administrative and email-driven, requiring strong attention to detail, organization, and the ability to manage multiple tasks in a fast-paced environment. The Transportation Coordinator works closely with care coordinators, transportation providers, call center staff, and other internal partners to ensure transportation requests are processed accurately and in accordance with program requirements.

Key Accountabilities:Transportation Coordination & Administration
  • Process transportation requests and authorizations in accordance with established policies, procedures, and regulatory requirements.
  • Enter, update, and maintain transportation authorizations and related information in applicable systems.
  • Coordinate transportation services with approved vendors and assist in resolving routine service issues.
  • Monitor and respond to transportation-related requests received through shared mailboxes and internal communication channels.
  • Process member bus pass requests and coordinate fulfillment activities.
  • Maintain accurate and complete transportation records and documentation.
Internal Support
  • Support the Provide-A-Ride program by assisting internal teams with transportation-related requests and questions.
  • Collaborate with care coordinators, case management teams, call center staff, transportation vendors, and interpreter services to facilitate member transportation needs.
  • Escalate transportation-related issues to appropriate team members when needed and assist with resolution efforts.
  • Provide timely and accurate information regarding transportation processes and program requirements.
Compliance & Documentation
  • Follow state, Medicaid, and organizational transportation policies and procedures.
  • Assist with maintaining transportation-related reference materials, forms, and documentation.
  • Review information for completeness and accuracy before processing requests.
  • Maintain documentation that supports operational and compliance requirements.
Required Qualifications:
  • High school diploma or equivalent.
  • 1+ years of experience in transportation coordination, scheduling, logistics, healthcare operations, customer service, or a related field.
  • Experience processing administrative requests in a high-volume environment.
  • Strong written communication skills and experience managing email correspondence.
  • Proficiency with Microsoft Office applications, including Excel, Teams, and SharePoint.
  • Ability to interpret forms, procedures, and written instructions.
  • Strong attention to detail, organization, and data-entry accuracy.
Preferred Qualifications:
  • Experience in healthcare, health insurance, Medicare, Medicaid, or managed care environments.
  • Experience coordinating transportation services or non-emergency medical transportation (NEMT).
  • Familiarity with transportation authorization processes and related program requirements.
  • Experience working with external vendors or service providers.

This position is an Office role, which requires an employee to work onsite, on average, 3 days per week. We are open to candidates located near one of the following office locations: Minnetonka, MN, or Madison, WI.

The full salary grade for this position is $37,600 - $64,400. While the full salary grade is provided, the typical hiring salary range for this role is expected to be between $37,600 - $56,385. Annual salary range placement will depend on a variety of factors including, but not limited to, education, work experience, applicable certifications and/or licensure, the position's scope and responsibility, internal pay equity and external market salary data. In addition to compensation, Medica offers a generous total rewards package that includes competitive medical, dental, vision, PTO, Holidays, paid volunteer time off, 401K contributions, caregiver services and many other benefits to support our employees.
