ESSENTIAL JOB FUNCTIONS:

  1. Promote good public relations among families, visitors, residents, and staff.
  2. Must be able to assess resident’s needs, both visually and verbally.
  3. Must be able to effectively communicate with the residents, families, visitors and staff.
  4. Refer all complaints/messages to appropriate staff member or management team.
  5. Answer phones, transfer calls, and take messages for clinic nursing staff.
  6. Reminder appointment calls for all community residents and Stewart Health Center Residents.
  7. Managing resident Protime appointments
  8. Charging Incontinence products and delivering supplies per order slips
  9. Managing Incontinence delivery schedule for monthly and weekly orders,
  10. Assist in medical records department with filing, scanning, attaching records in EMR, auditing in EMR.
  11. Process 911/ER paperwork for community calls.
  12. File/scan paperwork with advanced directives in code status binders.
  13. Collect/scan medical records for establish care appointments.
  14. Assign medical record number to new residents.
  15. Stocking Clinic with office supplies, clinic forms, and laundry.
  16. Managing Stewart Health Center resident 90-day and 60-day appointments, complete tracking sheet for auditing.
  17. Set daily provider schedule and dispense to all needed parties, including changes during the course of the day
  18. Maintain neatness and cleanliness in the clinic lobby, exam rooms, treatment rooms, and chart room.
  19. Use paging system for Codes to summon nursing staff including CNAs to assist residents in various codes i.e. Red, blue, green, and yellow.
  20. Complete provider encounter forms for resident appointment, Medical Records and Insurance Department.
  21. Write maintenance/housekeeping/IT/Central Supply work orders as specifically as possible; designate appropriate department for action; and follow-up within a reasonable amount of time to ensure that requests have been acted upon in an efficient manner.
  22. Any other tasks upon request
  23. Responsible for being familiar with and following Springmoor established policy and procedure, task lists, and guidelines.
  24. Responsible for reading, understanding, and following the Springmoor Inclement Weather Plan and Fire Safety Plan.
  25. Perform other duties as assigned by the Healthcare Services Manager. 
  26. Clinic Clinical Secretaries will be evaluated upon completing 90 days and on annual review (anniversary date of hire) by the Healthcare Services Manager based on compliance with Springmoor rules and regulations and performance of responsibilities.

Holiday Pay

  • Full-Time Employees:
    Employees who work on a recognized holiday are paid at 2.5 times their regular rate.
    Employees who do not work on a recognized holiday receive 8 hours of holiday pay, in accordance with company policy.

High school education or equivalent, one year or more of medical office related experience, must have good organizational skills, time management, phone etiquette, computer skills and communication skills; must demonstrate good judgement.
