POSITION PURPOSE:

Provides direct support and secretarial duties for Senior Director for Testing. Responsible for scheduling, writing correspondence, emailing, providing customer service to visitors, routing phone calls, processing staff time records, and responding to inquiries and requests.

MINIMUM QUALIFICATIONS:KNOWLEDGE, SKILLS, AND ABILITIES (KSAs)
  • Considerable knowledge of Microsoft Office, specifically Word, Excel, and PowerPoint; Google Apps;
  • Critical thinking and problem-solving skills;
  • Excellent customer service skills with the ability to calmly route concerns to appropriate staff;
  • Ability to operate accounting systems for data management, problem resolution, and information research;
  • Ability to communicate clearly and concisely both in oral and written form using a variety of communication techniques and tools to ensure the appropriate flow of information, collaborative efforts, and feedback;
  • Ability to meet deadlines;
  • Ability to exercise independent initiative to perform both original and recurring assignments, and exercise judgment in the absence of clear directives;
  • Ability to establish and maintain effective working relationships with school system staff, external agencies, and vendors.
EDUCATION, TRAINING, AND EXPERIENCE
  • High school diploma or equivalent; AND
  • Five years of experience in a secretarial or related field; AND
  • Experience in managing and maintaining budget and payroll functions; OR
  • An equivalent combination of education and relevant experience sufficient to successfully perform the essential duties of the job will be considered.
CERTIFICATION AND LICENSE REQUIREMENTS
  • Must hold and maintain a valid motor vehicle operator's license according to the State of NC requirements.
PREFERRED QUALIFICATIONS:
  • Associate's degree or equivalent technical training;
  • Secretarial experience in a school or academic setting;
  • Experience using Oracle business applications.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Performs secretarial duties while prioritizing and completing tasks in a timely manner.
  • Provides administrative support to Senior Director for Testing and other Testing Office staff.
  • Maintains paper and electronic files, visitor logs, and a variety of other records.
  • Organizes and assists with logistics of various meetings for and within the department.
  • Monitors and processes time records for Testing Office staff including leave requests and reports; processes travel reimbursement requests for departmental staff and School Testing Coordinators.
  • Generates effective correspondence, presentations, reports, and other documents, as directed.
  • Monitors and secures front entrance to the Testing Office.
  • Supports budget processes for the department in collaboration with other staff.
  • Performs other related duties, as assigned.
  • WORK ENVIRONMENT/PHYSICAL REQUIREMENTS

    This position operates in a professional office environment and has a noise level of mostly low to moderate. This role routinely uses standard office equipment such as computers, scanners, and copiers. The position, at times, must be able to come into direct contact with school system staff, staff members of external funding agencies, and the community. Work is considered light physical work, requiring the exertion of up to ten pounds of force. The work may require driving automotive equipment.
