About the Role:
We are seeking an exceptional Executive Assistant to support a Senior Vice President and a Senior Director within our high-profile, fast-paced AI & Autonomous Systems organization. This role requires a strategic partner who can seamlessly navigate the demands of multiple senior leaders while maintaining composure in a dynamic, high-stakes environment. This position will provide comprehensive strategic and operational support to these two leaders.
What You'll Do:
Knowledge & Skills:
  • Strategic Executive Partnership: Demonstrate professional expertise in anticipating SVP-level needs, apply sound judgment to complex situations, and proactively solve problems before they arise.
  • Exceptional Discretion: Handle highly sensitive and confidential matters with impeccable judgment, particularly around strategic data science initiatives and executive-level decisions.
  • Predictive Thinking: Ability to stay multiple steps ahead and anticipate executives' needs across competing priorities in a rapidly evolving technical landscape.
  • Cross-Functional Influence: Build and leverage relationships across the organization and with external stakeholders to accomplish objectives and remove roadblocks for executive leadership.
  • Executive-Level Communication: Exceptional written and verbal communication skills with meticulous attention to detail; ability to interface confidently with all executive levels and external partners.

Key Areas of Responsibility:
  • Complex Calendar Management: Expertly manage intricate, high-volume calendars (via Google Calendar) for a Senior Vice President and a Senior Director, coordinate across multiple time zones, and balance competing strategic priorities.
  • Strategic Travel Coordination: Plan and execute sophisticated domestic and international travel arrangements.
  • Financial Administration: Manage expense reconciliation and budget oversight for offsites with precision and accountability.
  • High-Impact Event Management: Lead end-to-end planning for executive offsites and department events including:
    • Expertise in large-scale event planning
    • Budget formulation and tracking
    • Work closely with Procurement to secure venue and room block
    • Catering logistics
    • Team building activities and ground transportation
    • Some travel may be required
  • Executive Gatekeeping: Serve as trusted liaison; establish and maintain high-level relationships with sensitive contacts both internally and externally.
  • Proactive Time Optimization: Make autonomous decisions to maximize executive productivity, constantly evaluating today's actions against future timelines and strategic objectives.
  • Cross-Executive Collaboration: Engage regularly with C-level executives, their EAs, and external partners to ensure seamless coordination across the leadership ecosystem.

What You'll Need:
  • Demonstrated expertise in complex calendar management and large-scale event planning.
  • Previous experience supporting VP-level executives in technical or data-driven organizations.
  • Proficiency with Google Workspace, Slack, Workday, Navan, Expensify, and Coupa.
  • Background in high-tech, startup environments, or hypergrowth companies.
  • Cybersecurity or data science industry knowledge.
  • Experience supporting multiple executives simultaneously in fast-paced environments.
  • Proven experience utilizing AI technologies to enhance decision-making, streamline workflows and processes, improve efficiency and drive business outcomes.
