Job description

Job Title: Office Project Engineer / Assistant Project Manager

Location: Phoenix and / or Chandler, AZ

Reports To: Project Manager / Senior Project Manager

Department: Construction / Design-Build

Employment Type: Full-Time

Position Overview:

We are seeking a highly organized, detail-oriented Office Project Engineer / Assistant Project Manager to support our commercial construction projects with a strong emphasis on process management, documentation control, and coordination with a design-build team. This role requires working closely with project managers, architects, engineers, and subcontractors to ensure compliance with a highly procedural client's expectations and standards.

Data Center, clean room and design-build experience is a plus.

The ideal candidate will bring a proactive approach to supporting project execution and have experience working in environments with rigorous documentation, scheduling, and client reporting requirements.

Key Responsibilities:

Project Documentation & Control

  • Manage and track RFIs, submittals, change orders, meeting minutes, and project correspondence using project management software (Procore).
  • Maintain organized project files in compliance with client-specific documentation standards and internal QA/QC requirements.
  • Draft and distribute internal and external communication, including reports, logs, and schedules.

Design-Build Support

  • Collaborate with the design team and consultants to facilitate coordination between architectural, structural, and MEP disciplines.
  • Assist with constructability reviews, drawing coordination, and tracking of design development.
  • Attend design and coordination meetings, take notes, and follow up on action items.

Client & Stakeholder Communication

  • Support the Project Manager in interfacing with a process-driven client, ensuring documentation, responses, and reports meet client expectations.
  • Prepare and submit detailed, professional, and timely reports to clients and stakeholders.
  • Track client deliverables and approval timelines, ensuring deadlines are met.

Construction Administration

  • Assist with cost tracking, budget reviews, invoice processing, and schedule updates.
  • Monitor subcontractor compliance, including insurance certificates, safety documentation, and daily reporting.
  • Track procurement items, lead times, and delivery schedules in coordination with the project team.

Administrative & Office Support

  • Support the project team from the office, ensuring efficient workflow, calendar scheduling, and document routing.
  • Perform QA/QC reviews of documents prior to distribution.
  • Manage closeout documentation including O&M manuals, as-builts, warranties, and turnover packages.

Qualifications:

  • Bachelor's degree in Construction Management, Civil Engineering, Architecture, or related field.
  • 25 years of experience in commercial construction, preferably in a design-build environment.
  • Experience working with highly procedural clients (e.g., tech companies, healthcare, or institutional sectors) is highly desirable.
  • Proficiency in project management software such as Procore, Bluebeam, AutoCAD, MS Project, and Microsoft Office Suite.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Detail-oriented with the ability to follow established processes and improve them as needed.
