OVERVIEW & JOB SUMMARY
The Operations assistant reports to the Caregiver Manager and the primary responsibilities are to assist the Care Staff Coordinator with the duties of screening, interviewing, scheduling and ultimately on-boarding applicants.  Further responsibilities may include but are not limited to assisting the rest of the Operations department with clerical, administrative and record keeping tasks and to assist the Caregiver Manager as directed. The Operations assistant will play an integral role in in the company’s efforts of upholding the Mission Statement of Cassiel, Inc. DBA Visiting Angels, which states, “We provide a profoundly remarkable experience”.
DUTIES AND RESPONSIBILITIES
Interview Coordination•Manage incoming applicants from various sources, screen out or approve on a case by case basis•Conduct phone screenings with applicants to determine skills, experience, availability, etc•Coordinate with Care Staff Coordinator to schedule applicants for in person interviews•Follow up with applicants as needed regarding the status of their application (i.e. approved, denied, etc)•Keep notes in WellSky and Paradox regarding applicants experience, status on the hiring process, documents needed, etc•Manage phone screen and interview calendar to assure all commitments are met•Send reminder messages to applicants for their scheduled interview or classHiring•Ensure that all applicants are 100% document ready prior to orientation•Run background checks for all applicants converted to hires•Complete employment verification for all applicants converted to hires•Participate in the in person interview process as needed•Assist with new hire on-boarding as needed•Post Job ads on Indeed and other websites•Interviewing Candidates to apply on job sites
ORIENTATION SUPPORT
•Prepare training room for orientation prior to new hire arrivals•Prepare all new hire training materials prior to new hire arrivals•Assist with gathering, placing and picking up lunch orders for new hires•Run Weekly Operations Reports•Coordinate and run job fairsOn-going Operations Support
Assist with ensuring on-going compliance records are up to date (annual training, background checks, etc)Administrative•Assist and manage caregiver records as directed by the Caregiver Manager•Participate in organizing Caregiver meetings•Provide support for other office functions such as phone answering
QUALIFICATIONS
•2 years experience in healthcare or business office•Able to demonstrate quality writing skills•Effective time management•Adaptive to change•Able to work proficiently with technology•Associate’s Degree or post high school education preferred•Demonstrates a positive, service-first mindset. Actively fosters a positive team culture, supports coworkers, and shows genuine care for caregivers, clients and families
