Responsibilities Include:
  • Answer incoming phone calls; respond to customer inquiries
  • Assist in coordinating service appointments
  • Follow up calls on estimates left with customers
  • Prepare cash deposits and print checks
  • Prepare weekly reports and monthly statements
  • Receive, review, and input customer billing information into work orders
  • Prepare and issue accurate customer invoices based on complete work orders
  • Assist in processing payments, tracking receivables, and tracking payables
  • Communicate with vendors, clients, subcontractors, and inspectors as needed
  • Acquire necessary permits for scheduled projects
Requirements
  • 2+ years of experience in an administrative role, preferably in a trades or construction environment
  • Strong attention to detail
  • Strong organizational and multitasking skills
  • Excellent verbal and written communication
  • Excellent customer services skills
  • Proficient in Microsoft Office (Word, Excel, Outlook) and office equipment
  • Familiarity with scheduling or field service software (e.g., ServiceTitan, Jobber, or similar) a plus
  • Professional appearance and demeanor
  • Valid driver's license and clean driving record
  • Great work ethic
