Food Safety amp; Quality Systems Coordinator

Position Summary

The Food Safety amp; Quality Systems Coordinator is responsible for supporting the development, implementation, and maintenance of food safety and quality management systems. This role has a strong focus on nutritional labeling compliance, customer portal management, regulatory adherence, and quality systems support to ensure products meet all internal, customer, and regulatory requirements.

Key Responsibilities

Nutritional Labeling amp; Product Compliance

· Create, review, and maintain accurate nutritional labels in compliance with FDA/USDA and other applicable regulatory requirements

· Verify ingredient statements, allergen declarations, and claims (e.g., organic, non-GMO, gluten-free)

· Collaborate with R amp;D, procurement, and production teams to ensure label accuracy throughout product lifecycle

· Maintain label approval workflows and documentation control

· Support product development by ensuring regulatory compliance of new and reformulated products

Customer Portal amp; Documentation Management

· Manage customer-specific portals (e.g., retailer/supplier systems) and ensure timely and accurate data entry

· Upload and maintain product specifications, certifications (GFSI, organic, etc.), COAs, and other quality documents

· Respond to customer requests for information, audits, and documentation

· Track deadlines, updates, and changes required by customer systems

· Ensure consistency and accuracy of data across internal and external platforms

Regulatory Compliance

· Monitor and interpret food safety regulations and labeling requirements (FDA, USDA, CFIA, etc.)

· Ensure facility and products remain compliant with local, state, and federal regulations

· Support regulatory audits and inspections, including preparation of required documentation

· Assist in maintaining compliance with GFSI standards (SQF, BRC, FSSC 22000, etc.)

· Stay current on changes to food laws and industry standards

Quality Systems Support

· Maintain and update quality management system (QMS) documentation, including SOPs, work instructions, and records

· Assist in internal audits, corrective actions (CAPAs), and continuous improvement initiatives

· Support traceability programs, mock recalls, and document control systems

· Participate in supplier approval and qualification programs

· Track and trend quality metrics, complaints, and non-conformances

Cross-Functional Collaboration

· Work closely with Quality, Regulatory, R amp;D, Operations, and Procurement teams

· Provide training support related to food safety, labeling, and quality procedures

· Assist with preparation for third-party audits and customer visits

Qualifications

Education amp; Experience

· Bachelor’s degree in Food Science, Nutrition, Microbiology, or a related field

· 2–5 years of experience in food manufacturing, quality assurance, or regulatory compliance

· Experience with nutritional labeling software (e.g., Genesis, ESHA, Nutritionist Pro) preferred

· Experience managing customer portals or retailer systems strongly preferred

Knowledge amp; Skills

· Strong understanding of food labeling regulations and allergen requirements

· Familiarity with GFSI standards (SQF, BRC, or FSSC 22000)

· Knowledge of Food Safety Modernization Act (FSMA) principles

· Excellent attention to detail and organizational skills

· Strong data management and documentation control skills

· Proficiency in Microsoft Office and database systems

· Ability to manage multiple projects and deadlines
