Job description

SUMMARY The Youth Aid Panel ("YAP") Program is an alternative to having a juvenile charged with his or her criminal infraction and having the matter handled in Juvenile Court. Successful completion of the YAP Program means the juvenile will not have a criminal record that can be found through background checks routinely done by colleges and employers. The program is also designed to help juvenile offenders avoid future contact with the juvenile justice system through the involvement and support of local community volunteers, who serve on the Youth Aid Panels.

The primary role of the YAP Assistant Coordinator is twofold: assisting the YAP Director with the coordination of the Panel process and the administrative responsibilities of the YAP program, and working with the community to identify new community service sites and conducting site visits. The YAP Assistant Coordinator will work closely with the YAP Director and the Juvenile Division. This includes screening YAP referrals for approval, assigning cases to Panels, maintaining case paperwork, coordinating community service site information, coordination of service provider information and billing, entering data, communicating with police departments, scheduling and coordinating YAP trainings, updating YAP manuals and assisting the YAP Director with developing YAP marketing materials.

The YAP Assistant Coordinator is responsible for maintaining the YAP database and compiling statistics for the program. Duties include compiling annual YAP data for the District Attorney's annual report and at the request of the YAP Director and Deputy District Attorney for the Juvenile Division. The YAP Assistant Coordinator completes special projects as assigned by the YAP Director and Deputy District Attorney for the Juvenile Division.

The YAP Assistant Coordinator will attend and complete the YAP volunteer training. Additionally, the YAP Assistant Coordinator will attend and assist with facilitating and coordinating the quarterly Saturday YAP training volunteer trainings. The YAP Assistant Coordinator is also tasked with periodically monitoring Panel meetings, which may occur up to 3-4 evenings per month.

ESSENTIAL DUTIES AND RESPONSIBILITIES Maintain and monitor the YAP email. Maintain the YAP ZOOM account and coordinate/schedule for YAP Coordinator and Panels. Collect and monitor YAP volunteer background checks and child abuse clearances.

Screen YAP referrals for approval with background checks. Assign approved cases to appropriate Panels. Provide referral information and paperwork to Panel chairperson.

Coordinate assignment of case management services and attend monthly case management meetings. Communicate with police departments regarding referrals. Develop, locate, and screen community service sites for approval and maintain approved list.

Enter YAP data and maintain YAP database. Maintain and updates YAP volunteer list and contact information. Coordinate service provider information and billing.

Facilitate and assist volunteers with their responsibilities. Schedule and attend bi-monthly roundtable meetings (evening) with Panel Chairpersons. Schedule and attend monthly YAP volunteer education trainings (evenings), and approximately two Saturday trainings.

Assists YAP Coordinator and Deputy District Attorney with preparation of annual report and statistics. QUALIFICATION REQUIREMENTS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill and /or ability required.

Administrative assistance experience. Ability to work up to four Saturdays a year to assist with and attend quarterly trainings. Ability to work approximately 3-4 evenings a month.

Typing and computer skills. Proficiency with Apple products; Proficiency with Microsoft office programs such as Word, PowerPoint, Excel, etc. Ability to set up and conduct Zoom meetings.

Good communication and interpersonal skills. Analytical ability. Decision-making ability.
