Job description

Cethron Property Management is looking for a dependable and organized Property Management Assistant / Field Coordinator to join our team.


This is an entry-level position with a mix of office and field work supporting the day-to-day management of our residential and commercial properties throughout San Diego. Every day can look a little different, so we are looking for someone who is organized, communicates well, pays attention to detail, and is good at keeping track of multiple tasks and following through.


Property management experience is a plus, but not required. We are happy to train the right person who is reliable, willing to learn, and takes initiative.


Responsibilities

  • Conduct exterior property inspections and document any issues or concerns
  • Conduct move-in and move-out inspections, including photos and documentation
  • Conduct annual interior inspections of occupied units
  • Show vacant residential and commercial properties to prospective tenants
  • Communicate with prospective tenants and schedule property showings
  • Assist with tenant communication and follow-ups
  • Answer office phones occasionally and assist with general inquiries
  • Assign maintenance requests to vendors and maintenance personnel
  • Follow up on open work orders and make sure outstanding items are completed
  • Communicate with vendors and contractors regarding scheduling, property access, estimates, repairs, and completed work
  • Schedule and coordinate estimates for maintenance and property repairs
  • Coordinate access to properties for vendors, contractors, utility companies, inspections, and maintenance
  • Follow up on maintenance work and inspect completed work when needed
  • Assist with vacant unit turnovers and make sure properties are ready for showing and move-in
  • Check vacant properties as needed
  • Post notices and other documents at properties as needed
  • Assist with keys, lockboxes, and property access
  • Report maintenance issues, property damage, lease violations, or other concerns noticed while visiting properties
  • Keep inspection reports, photos, notes, and follow-up items organized
  • Assist with general leasing and prospect follow-up
  • Maintain an organized task list, keep track of outstanding items, and follow up until tasks are completed
  • Assist with other day-to-day operational tasks as needed


What We're Looking For

  • Able to maintain a task list and come back to items that require additional follow-up
  • Good communication and customer service skills
  • Comfortable communicating with tenants, prospective tenants, vendors, contractors, and coworkers
  • Able to work independently and take initiative
  • Comfortable working both in the office and out in the field
  • Basic computer, email, and smartphone skills
  • Legally authorized to work in the United States
  • Valid driver's license
  • Reliable personal transportation and current auto insurance
  • Willing to use a personal vehicle for work-related travel
  • Spanish speaking is preferred, but not required

Previous experience in property management, leasing, real estate, customer service, administrative work, maintenance coordination, or a similar position is a plus.

Mileage for work-related driving is reimbursed.


Schedule

Monday through Friday, 8:00 AM to 5:00 PM.

Some after-hours and weekend availability may be required on an as-needed basis for maintenance emergencies, urgent property issues, or occasional scheduling needs.
