JobSummary:

TheAssignmentCoordinatorplaysacrucialroleinsupportingandworkingcloselywiththeCEO&recruitingteaminthedailyoperationsofourstaffingprocess.Thispositionisresponsibleforcoordinatinghealthcareprofessionalassignments,ensuringsmoothonboarding,maintainingaccurateschedules,andservingasaliaisonbetweenclients,candidatesandrecruiterstoensureseamlessstaffingoperations.Youwillorganizesales-relateddocumentationandprovideadministrativesupporttoourrecruiters.Theidealcandidatewillhaveexcellentorganizationalskills,strongattentiontodetail,senseofurgency,andtheabilitytomultitaskinafast-pacedenvironment.


Key Responsibilities:

  • Coordinate and manage healthcare professional assignments across various facilities nationwide.
  • Serve as the main point of contact for clients and assigned providers during active assignments.
  • Monitor staffing needs and proactively match qualified professionals to open assignments.
  • Maintain accurate and up-to-date records of candidate placements, compliance documentation, and assignment details in the applicant tracking system (Salesforce).
  • Create & send out all candidate confirmation letters to the candidates for review and signature within 24 hours of receiving the offer. Conduct daily follow-ups with candidates to manage any questions about the placement and ensure that the confirmation is signed by candidate in a timely manner.
  • Review and process all pending placement orders, extension requests, and team documentation into the database.
  • Collaborate with recruiters and credentialing teams to ensure providers meet all client-specific requirements and deadlines.
  • Communicate assignment details clearly to providers, including schedules, responsibilities, travel logistics, and facility expectations.
  • Track contract start/end dates and manage timely renewals, extensions, or replacements as needed.
  • Troubleshoot assignment-related issues and resolve conflicts quickly and professionally.
  • Ensure client satisfaction by maintaining strong communication and providing timely updates.
  • Assist with timesheet tracking, payroll coordination, and invoice follow-up as needed.
  • Assist with other administrative duties that may go out of the scope of the day-to-day role and assist with other projects.

Qualifications:

  • 12 years of experience in healthcare staffing, scheduling, or a similar administrative/coordination role (preferred).
  • Strong organizational and multitasking skills in a fast-paced environment.
  • Excellent communication and interpersonal abilities, both written and verbal.
  • Proficient in Microsoft Office Suite and applicant tracking systems (experience with Salesforce a plus).
  • Strong calendar & time management skills
  • High attention to detail and a commitment to data accuracy.
  • Strong sense of urgency
  • Ability to build strong working relationships with both healthcare professionals and facility clients.
  • Problem-solving mindset with a proactive approach to addressing challenges.
