Description
The Executive/AR Assistant is a highly organized, detail-oriented professional who provides direct administrative support to firm partners and manages accounts receivable for partner clients. This role requires proactive communication, excellent judgment, and the ability to manage multiple priorities in a fast-paced professional environment.
Key Responsibilities
Executive & Partner Support:
  • Serve as a trusted administrative partner to firm executives, anticipating needs and managing priorities
  • Coordinate calendars, appointments, meetings, and travel logistics
  • Draft and prepare professional correspondence, presentations, and reports
  • Handle client communications, calls, and Zoom meetings with discretion and professionalism
  • Support client meetings, proposals, and special initiatives
  • Coordinate all steps of the Client Take-On process, including information gathering, approvals, and system setup
  • Maintain systems logins and facilitate updates for staff and clients
  • Maintain strict confidentiality and professionalism in all matters

Accounts Receivable:
  • Manage accounts receivable activities, including reviewing aging reports, following up on outstanding invoices, and reconciling payments
  • Facilitate timely collections with both partners and clients
  • Ensure accurate documentation of transactions, receipts, and financial support materials

Requirements
  • 2+ years of administrative experience in a fast-paced professional environment
  • Strong organizational skills with the ability to manage multiple priorities simultaneously
  • Excellent written and verbal communication skills
