Job Summary
Job Title: Contract Coordinator
S.A. Comunale is seeking a Contract Coordinator. The primary function of this position is to help the Contracts / Insurance Manager maintain spreadsheets and certificates. This position will also work closely with the Branch Administrative Assistants.
This job requires attention to detail with a focus towards Terms & Conditions data entry, accuracy, and communication.
Essential Duties & Responsibilities
Primary duties and responsibilities include the following. Other duties may be assigned.
  • Reviewing year-to-year, month-to-month contracts for inspections.
  • Maintain accurate records of all contracts, track renewals, terminations, and amendments, and ensure proper documentation is stored for future reference.
  • Serve as a point of contact for external parties, clarifying contract terms and facilitating smooth execution.
  • Provide guidance on contract procedures, assist with internal audits, and support onboarding of new contracts.
  • Assists in completing paperwork required to be in compliance with the contract.
  • Assists department with processing of new or revised contracts.
  • Negotiating with general contractors.
  • Submit contracts to VP for review and signature.

Qualifications
To perform this job successfully, the individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. Reasonable accommodation may be made to enable individuals with disabilities to perform the essential functions.
  • High school diploma or GED is required.
  • 2+ years' experience of office or administrative assistant is required.
  • Experience with insurance and contract a plus.
  • Previous experience in the construction or fire protection industries a plus.
  • Significant experience with Microsoft Office (i.e., Word, Excel) applications is required.
  • Excellent customer service skills are required.
