As Executive Assistant to the SVP, Global Commercial Affairs, you will play a critical role in ensuring the smooth and efficient operation of the commercial department within Ceremony of Roses. You will provide high-level operational, planning, cross-functional execution, and administrative support in a fast-paced, global environment while acting as a trusted extension of the SVP. Success in this role means strong communication, attention to detail, proactive problem-solving and a hospitality-focused approach to working with artists and industry professionals.

What you'll do:
  • Organize and support internal meetings, including preparing agendas, gathering supporting materials, capturing notes, tracking outcomes and action steps.
  • Provide key proactive executive administrative support to the SVP, Global Retail & Licensing of Ceremony of Roses - anticipate needs, follow-through on all details and handle all confidential situations with discretion.
  • Handle expenses and complete monthly T&E reports in Concur, pay department invoices, and reconcile AMEX Travel Statements
  • Manage domestic and international travel schedules for the SVP, Global Retail & Licensing of Ceremony of Roses.
  • Maintain shared documents, workflow communication, execution follow-up. Provide coordination support on cross-functional initiatives.
  • Track follow-ups and action items across the department, as well as broader departments within Ceremony of Roses, labels, and corporate teams.
  • Support preparation of presentations, strategic discussions, and artist management meeting utilizing MS Suite (Excel, PowerPoint, Word)
Who you are:
  • Minimum 5+ years of executive assistant experience supporting a senior-level executive in a fast-paced organization.
  • Exceptional structuring, analytical, and communication skills. Curious and learns new concepts quickly.
  • Highly organized, proactive, and capable of anticipating needs before direction is provided.
  • Exceptional organizational skills and strong attention to detail.
  • Excellent written and verbal communication skills.
  • Flexible and available outside standard business hours when necessary.
  • Strong knowledge of and experience with Microsoft Office Programs (Excel, Outlook, PowerPoint, Word) across Mac and PC environments
