Job description

POSITION:      ADMINISTRATIVE ASSISTANT (12 Months) 

REQUIREMENTS: 

  • High School Diploma or Equivalent.

  • Secretarial and Computer Skills.

  • Must have the personal characteristics necessary for working effectively with students, teachers, other staff members, and parents.

LOCATION:   Gladys West Elementary

SALARY RANGE:  Placement on the School Administrative Assistant scale depends on Experience. $38,420- $61,923

PRIMARY FUNCTION:  

To work with the school counseling department to ensure that new students are properly processed and onboarded as well as other duties to support the counselors and teachers with student records. To work with the school administration to track student attendance and complete any forms or reports related to student attendance. 

QUALIFICATIONS: 

  1. Minimum of a high school diploma. 

  2. General knowledge of office practices, procedures, equipment, and techniques. 

  3. Knowledge of technology to complete tasks, send and receive emails, and create documents. 

  4. Ability to prioritize and perform duties effectively and efficiently. 

  5. Ability to establish and maintain professional, effective working relationships with other staff members and the public. 

  6. Ability to understand and follow oral and written instructions. 

  7. Ability to maintain confidentiality. 

REPORTS TO:  Building level administration (Principal / Assistant Principal) 

RESPONSIBILITIES: 

  1. Manage in-house student transfers, student records and record requests for incoming and/or transfer students. 

  2. Manage spreadsheet for tracking beginning of the year student movement and verification forms. 

  3. Input/update student database (Power School) information. 

  4. Input legal alerts into Power School. 

  5. Maintain receipt book. 

  6. Maintain daily student attendance, input medical notes, tardies and early dismissals. 

  7. Maintain attendance sheets for substitute teachers. 

  8. Maintain long-term absence log. 

  9. Run Logical Attendance Tracker reports daily, send parent attendance letters based on the report, and document parent communication in Power School. 

  10. Initiate mailings pertaining to attendance and process returned attendance letters. 

  11. Attend attendance meetings. 

  12. Generate Parent Portal passwords. 

  13. Manage all Department of Social Services forms and related items as well as Student Record Collection reports. 

  14. Serve as back-up for morning and/or afternoon announcements. 

  15. Generate student data sheets, resident verification letters, and report cards. 

  16. Assist central registrar with kindergarten registration. 

  17. Maintain and secure filing system of student cumulative records including the transfer of fifth grade cumulative records to Walker-Grant Middle School. 

  18. Assist front office personnel as needed. 

  19. Other duties assigned by the building administration as needed. 

SALARY: School Administrative Assistant Scale based on experience in a position with similar responsibilities. 

EVALUATION: Performance on the job will be evaluated in accordance with school board policy and administrative regulations on evaluation of classified personnel.
