Administrative & Operations Assistant

This is not a typical administrative job.You'll work directly with leadership, use AI tools daily to move faster, and help build the systems that keep a growing company running efficiently.

Hybrid (3 office days / 2 remote)

About the Role

We are looking for an Administrative & Operations Assistant who thrives on organization, structure, and using technology to work smarter.

This role uses AI tools as a core part of the job — for drafting communications, organizing information, streamlining workflows, and automating repetitive tasks. You'll support leadership with scheduling, coordination, and operational projects while actively looking for ways to make processes faster and more efficient.

This is a strong fit for someone who takes initiative, doesn't wait to be told what to fix, and wants to build a long-term career in operations, marketing, or project management.

Responsibilities

  1. Calendar management and scheduling, using AI tools to streamline coordination
  2. Email coordination and inbox organization, including AI-assisted drafting
  3. Vendor communication and coordination
  4. Track payments and administrative records
  5. Maintain and update Google Sheets; identify opportunities to automate manual tracking
  6. Support project coordination tasks
  7. Document and improve internal systems and processes, proactively flagging inefficiencies
  8. Assist with hiring coordination and scheduling
  9. Explore and implement AI tools to reduce manual work across the team

Qualifications

  1. Strong organization and time management
  2. Comfortable using AI tools (ChatGPT, Claude, or similar) in daily work, or eager to learn quickly
  3. Proficiency with Google Sheets
  4. Strong written communication
