JOB SUMMARY

The Associate Executive Director is responsible for providing support to the CEO & Executive Director for the administration of the activities of the District Council of Madison -- with a strong emphasis on fundraising and communications. Reporting directly to the Executive Director, the Associate Executive Director shall acquire a familiarity with all aspects of administration and management required for the operation of the District Council, including personnel, finance, facilities, and community relations, and will participate in performing administrative duties in these areas as requested by the Executive Director.


In the performance of these duties, the Associate Executive Director will work closely with senior management staff who have significant expertise in the areas of retail operations, housing, accounting, fundraising, human services, and volunteers. In the absence of the Executive Director, the Associate Executive Director will be responsible for the coordination and supervision of these staff members. Significant deference to the expertise and experience of staff is necessary, however, to maintain the effective operation of the organization.


WHAT YOU'LL DO

Administration

  • Assists the Executive Director in the implementation of policies and programs established by the Council and its Board of Directors.
  • Assists the Executive Director in organizing the services of the Council and coordinates the work of the staff.
  • Facilitates communication among board members, volunteers, employees, conference members, and thrift store shoppers through attendance at meetings, distribution of newsletters, correspondence and other means.
  • Represents the Council professionally in the community and interprets the Society's service to the general public and targeted audiences.
  • Provides professional leadership and assistance in the performance of the many-faceted charitable endeavors of the Council and the Society.

Organization Mission, Management, and Leadership

  • Participate in an atmosphere of teamwork and collaboration, listening, fostering dialogue, and facilitating joint problem-solving while supporting an inclusive and equitable organization.
  • Take a leadership role in the Council strategic planning. Lead and continually evaluate goal achievement for strategic goals across the organization. Lead communication about strategic goals for internal and external audiences.
  • Set challenging and realistic goals for program success and personal professional growth. Demonstrate accountability and responsibility for achieving goals and results.
  • Participate in meetings of the Board of Directors. Support the CEO & Executive Director and Senior Directors to provide reports and educate Board members about organization efforts. Participate in committees and task forces/work groups of the Board as assigned.

Personnel Management

  • Directly supervise the work of the Development Director and Communications Manager
  • Work with the CEO & Executive Director and Senior Directors (Senior Director of Client Services, Senior Director of Human Resources, and Senior Director of Retail Operations) on strategic direction of the organization.
  • Work with the CEO & Executive Director to coach and direct senior managers through the emphasis of a team approach to the accomplishment of their duties, and by building with them a full understanding of the organization's mission.
  • Work with the CEO & Executive Director to discipline senior managers, if necessary, in compliance with the applicable provisions set forth for that purpose in the Employee Handbook.
  • Adhere to the Safeguarding Policy by ensuring timely completion of mandatory training, staying updated on relevant training modules, and undergoing the necessary background checks to maintain compliance

Financial Management:

  • Maintain awareness and support the overall financial management of the Council by participating in the preparation of annual budgets and reviewing monthly statements, bequest fund investments, and financial reports.
  • Take a leadership role in fundraising activities and adherence to appropriate nonprofit accounting methods and operations.

Community Relations:

The Associate Executive Director will have primary responsibility for oversight of fundraising and communications for the District Council. Duties will include coordination of team-based efforts for:

  • Oversee strategy and execution of fundraising and communications activities with supporters, volunteers, conference members, and employees.
  • Oversee production of newsletters, fundraising appeals, special event communications, and other forms of direct mail.
  • Oversee coordination of all advertising.
  • Coordinate media relations, including distribution of news releases and media advisories.
  • Assistance in oversight of other communication, including the Council's online presence and social-media efforts.
  • Serve as a spokesperson for the organization to the community on occasion, as directed by the CEO/Executive Director.
  • Develop and implement goals for fostering greater awareness of the organization within the community.
  • Represent the Society before ecclesiastical, governmental and community service organizations.
  • Serve on community nonprofit boards and/or committees as requested by the Executive Director or Board of Directors.

The Associate Executive Director of the District Council of Madison, Inc., is responsible to the CEO & Executive Director of the District Council of Madison, Inc., and to the Board of Directors for these and other duties assigned by these authorities.


In the absence of the CEO & Executive Director, or when asked to do so by the CEO & Executive Director or by action of the Board of Directors, the Associate Executive Director will oversee any area of management of the organization.

Requirements

REQUIRED SKILLS

  • The Associate Executive Director must have a passion for the mission of the organization and commitment to achieving their agency's objectives. Experience in similar faith-based, charitable organizations is highly desirable.
  • A minimum of five years of experience in an executive-management or supervisory capacity, preferably in a nonprofit environment.
  • Computer literacy (word-processing); ability to communicate well (public speaking) and in writing (newspaper articles, correspondence); understanding the role of a nonprofit board; modern management techniques (coaching and empowering); ability to read and understand financial reports
  • Strong user familiarity with donor database systems, preferably DonorPerfect
  • Knowledge of the teachings of the Catholic Church and commitment to post-Conciliar principles.
  • Demonstrate the ability to communicate and effectively interact with people across cultures, ranges of ability, ethnicities, and races.
  • Demonstrate the implementation of best practices as required by the SVdP Safeguarding policy when interacting with children and vulnerable adults.
  • For the safety of the clients SVdP serves and as per the Safeguarding Policy, this position requires the successful completion of a criminal background check.
  • Demonstrated knowledge of nonprofit fundraising and communications best practices
  • Ability to plan, coordinate, and execute successful fundraising events
  • Strong project management skills, including organization, timelines, and follow-through
  • Excellent interpersonal and customer service skills; able to work effectively with diverse groups
  • Ability to learn and apply process improvement methods across programs and retail operations
  • Adaptable and creative, with the ability to both lead and support others as needed
  • Strong communication skills; able to work effectively with staff at all levels of the organization
  • Ability to prioritize tasks and make sound decisions based on available information

PREFERRED SKILLS

  • Familiarity with best practice HR policies and procedures.
  • Experience working with programs that assist low-income people.
  • An advanced degree in a related area of study is desired but not required.
  • The ability to understand and perform mathematical calculations associated with retail-management operations of the Council.
