The Position:

The Materials Admin Associate plays a critical role in supporting inventory management, reconciliation, and refurbishment operations. This position partners closely with internal teams, repair vendors, and end users to ensure efficient materials handling and accurate order processing. Responsibilities include purchase order creation, parts validation, order management, coordination of domestic and international shipments, and resolution of inventory or order holds.

Essential Job Duties:

  • Monitor AWP (Awaiting Parts) holds and provide timely updates on status
  • Build and maintain strong working relationships with repair centers, field support teams, and GTK partners
  • Support repair centers and field teams with parts inquiries and requests
  • Validate self-maintainer parts orders for accuracy and completeness
  • Assist with alternate parts identification and management
  • Participate in annual physical inventory counts at repair centers
  • Review project work instructions to confirm required parts and materials
  • Create and manage purchase orders and support order processing activities
  • Coordinate domestic and international shipments, ensuring timely delivery
  • Troubleshoot and resolve inventory, order, or shipment holds

Experience & Education:

  • High School Diploma or GED required
  • Strong verbal and written communication skills
  • Fluency in English required; Mandarin preferred
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint)
  • Strong attention to detail and organizational skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Ability to travel domestically and internationally (less than 10%)

The Location:

This is a hybrid role in our Irvine office. 3 Days in office / 2 days remote.
