Job Summary:
The Department of Health Information Management at SUNY Downstate Health Sciences University is seeking a full-time TH Medical Records Assistant 2. The successful candidate will:
  • Have strong electronics system experience and good interpersonal skills necessary to address physician and staff.
  • Report to the supervisor of the file room area.
  • Assist with special projects.
  • Be crossed trained in all Health Information Management functions.
  • Work with systems utilized by the alpha scanning system, which are Healthbridge Electronic Medical Records, 3M Chart Tracking System and Clairsol.
  • Ensure strict adherence to security confidentiality guideline of HIPAA.
  • Troubleshoot problems with the scanning system or machine, ensure all papers are right-side up facing in the right direction, reposition pages on the system using arrow correct label with correct Date of Service.
  • Conduct maintenance cleaning system with paper jams and cleaning of the system.
  • Prep chart for the Alpha System Scan inpatient and outpatient papers appropriately for the corresponding medical record.
  • Scan loose material into the Alpha system.
  • Sort and scan emergency room records into the Alpha system.
  • Conduct Master Patient Index / Eagle and 3M search on all emergency room records.
  • Assemble inpatient and outpatient charts.
  • Ensure during the assembly of the medical record(s) patient's identifiers are on each page and each page(s) in an effort to identify all deficiencies according to departmental guidelines.
  • Enter deficiencies associated with the provider(s) into the 3MHISClient/Chart Fact system.
  • Ensure that all charts processed are signed out in the 3MHISClient/ChartFact system to the appropriate unit(s) in the department.
  • Conduct Master Patient Index/ 3M search on all loose papers.
  • View records by attorney, auditors, patients, etc.
  • Provide prompt response to all telephone, fax and walk-in inquires as well as to the Department of Health and other hospital requests for medical information.

Required Qualifications:
  • 1+ year of experience in Health Information Management and comprehensive knowledge of medical terminology.
  • Familiarity with HIPPA.
  • Strong interpersonal, verbal and written communication skills
  • High School Diploma.

Preferred Qualifications:
  • Associate Degree.
  • 2-years of related work experience in a healthcare environment, preferably in Health Information Management.
