Description

Position Summary: The Office of Academic Records is committed to enhancing the student experience and promoting student satisfaction through exemplary customer service for all NGU students by supporting registration, matriculation, and graduation processes. The Academic Records Assistant provides comprehensive support in all areas of student records management.

Responsibilities:

  • Represent NGU in creating a professional, welcoming, and helpful environment by providing general assistance, including answering phones, addressing student registration issues, and counseling and advising students in understanding their academic records.
  • Assist with the management of the Academic Records email inbox and process incoming requests from students, faculty, and staff.
  • Monitor and process student forms, including, but not limited to, major changes, advising alterations, academic plan changes, AP/CLEP scores, enrollment verifications, and schedule change requests. Additionally, manage filing documents when completed.
  • Manage requests for transcripts via Parchment.
  • Assist the Graduation Coordinator with Graduation preparation.
  • Assist with routine tasks associated with the opening and closing of the semester.
  • Manage student workers for the area of Academic Records, including approval of timecards, scheduling, and job assignments.
  • Assist at new student connect events, check-in events, and commencement, as needed.
  • Assist the NGU Online and Graduate academic advisors with responsibilities as assigned by the Registrar or Assistant Registrar.
  • Work with NGU Graduate programs to make sure the PA program and other designated groups are registered promptly.
  • Collaborate with other areas within Student Services, including Student Accounts, Financial Aid, and NGUcentral, regarding student portal issues and in answering general student questions related to these areas.
  • Perform other duties as assigned by the Registrar or Assistant Registrar.

  • Dexterity: grasping, feeling, writing, typing, and using the telephone, copier, and computer systems.
  • Mobility: open files and operate office machines; move between departments and attend meetings across campus.
  • Talking: frequently convey detailed or important instructions and ideas accurately, loudly, or quickly.
  • Lifting, pulling, pushing: exert up to 10 pounds of force constantly to move objects.
  • Cognitive/Emotional: ability to think critically and concentrate. Must be able to respond quickly to changes in conditions 75 to 100% of the time.

Working Relationships

This position is a part-time, non-exempt position in North Greenville's Academic Records Office within the Student Services Department, located at the main campus in Tigerville, SC. The Academic Records Assistant reports to the Registrar.

Work Schedule

Student Services is open Monday through Thursday, 8:30 a.m. to 5 p.m., and Friday, 8:30 a.m. to noon. Office hours are subject to change as deemed necessary. Weekly schedule is to be determined based on 25 hours per week.

There is no travel associated with this position.

Qualifications
  • Affirm an understanding of the Baptist Faith & Message 2000 and an understanding of the University's Statement on Human Flourishing.

  • Bachelor's degree preferred.
  • Excellent interpersonal and communication skills to handle a variety of student issues and concerns.
  • Ability to organize, prioritize, and problem-solve in an environment where frequent interruptions are common.
  • Ability to follow through with tasks.
  • Computer literacy and knowledge of Microsoft Office Suite.
  • At least one year of university services experience is preferred.
  • Understand and comply with FERPA regulations.
