Job description

At Columbus Women’s Wellness – Psychological & Consulting Services (CWW), we are a mission-driven, client and provider-centered practice, dedicated to supporting the mental health of teen girls and women of all ages. CWW is an all-inclusive group practice of over 35 clinical providers and eight staff members. CWW is seeking an experienced, highly organized Office Administrator to oversee daily administrative operations at our Upper Arlington practice location while managing the organization’s credentialing and contracting functions.

The ideal candidate will have direct, hands-on experience with both provider credentialing and payer contracting. This position requires someone who can manage detailed processes, maintain accurate records, meet critical deadlines, and communicate effectively with providers, insurance companies, contracting representatives, and internal leadership.

Key Responsibilities

Credentialing and Enrollment

  • Manage initial and recurring credentialing and recredentialing for providers.
  • Complete and maintain applications through CAQH, PECOS, NPPES, payer portals, and other credentialing systems.
  • Coordinate Medicare, Medicaid, commercial insurance, and other applicable payer enrollments.
  • Maintain accurate provider profiles, licenses, certifications, malpractice coverage, and supporting documentation.
  • Track application status and follow up with payers to resolve delays or missing information.
  • Monitor credential expiration dates and ensure renewals are completed on time.
  • Maintain organized, audit-ready credentialing files.
  • Communicate credentialing status, effective dates, and outstanding requirements to providers and leadership.

Payer Contracting

  • Manage payer contracting activities from application through execution.
  • Review contracts, fee schedules, participation requirements, renewal terms, and administrative provisions.
  • Coordinate new contracts, contract amendments, renewals, and terminations.
  • Communicate and negotiate with payer representatives as authorized by leadership.
  • Track contract effective dates, reimbursement terms, renewal deadlines, and notice requirements.
  • Maintain a centralized contract database and organized electronic files.
  • Assist leadership in evaluating payer participation and identifying contracting opportunities.
  • Coordinate with billing and revenue-cycle personnel to ensure contracted rates and provider effective dates are accurately implemented.

Office Administration

  • Oversee daily administrative workflows at UA office and help maintain an efficient, professional office environment. including administrative tasks, greeting clients, client check-in/out, billing, filing, faxing, copying, and other office related responsibilities while under supervision of the CWW Practice Manager.
  • Develop and maintain administrative, credentialing, and contracting procedures.
  • Establish tracking systems, calendars, checklists, and performance reports.
  • Coordinate communication among leadership, providers, billing personnel, vendors, and outside organizations.
  • Utilize CWW’s practice management system to monitor and manage client records, schedules, and billing while maintaining confidentiality and adhering to HIPAA standards.
  • Identify workflow gaps and recommend practical process improvements.
  • Handle confidential business, provider, employee, and patient information with discretion.
  • Support compliance, audit preparation, document management, and special projects.
  • Perform other administrative and operational duties as needed.
  • Maintain the presence of the office, reception, and practice spaces.
  • Act in ways that align with CWW’s company mission and culture.
  • Complete all other relevant responsibilities assigned by the Practice Manager.

What We’re Looking For

Required Qualifications

  • 2+ years of direct experience in both provider credentialing and payer contracting.
  • 2+ years administrative office experience
  • Demonstrated experience completing credentialing, recredentialing, payer enrollment, and contract-management processes.
  • Working knowledge of CAQH, PECOS, NPPES, Medicare, Medicaid, and commercial payer requirements.
  • Experience reading and organizing payer contracts, amendments, fee schedules, and related documentation.
  • Strong project-management, organizational, and follow-through skills.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities and time-sensitive deadlines with limited supervision.
  • High level of accuracy and attention to detail.
  • Proficiency with Microsoft Office or Google Workspace and electronic document-management systems.
  • Ability to handle confidential information appropriately
  • Computer proficiency (G-Suite, Microsoft)

Preferred Qualifications

  • Associate or bachelor’s degree in healthcare administration, business administration, or a related field.
  • Certified Provider Credentialing Specialist (CPCS), Certified Professional Medical Services Management (CPMSM), or comparable credential.
  • Experience working in a medical, behavioral health, therapy, or other healthcare practice.
  • Familiarity with healthcare billing, reimbursement, provider relations, and revenue-cycle operations.
  • Experience improving or building credentialing and contract-tracking systems.
