Job Summary

The Business Support Specialist supports HSPPR by providing software system support, modification, enhancements, business analysis, business intelligence, data analysis, business process analysis, and development to HSPPR staff and management. This role is responsible for developing, preparing, and reporting statistics and other information to staff, management, and other stakeholders as required. This position assists with the planning and implementation of technical and process projects and is responsible for translating business requirements into information systems and process-related solutions supporting current operations, programs, projects, and strategic initiatives.



Key Duties and Responsibilities

Project Management

  • Works with staff and management to document processes and create workflow maps.
  • Reviews process efficiency and effectiveness to streamline processes and enhance or automate tasks,software functionality, and reporting tools.
  • Effectively leads software migrations and implementations.
  • Recommends and implements opportunities for software and process improvements.
  • Assumes responsibility for project tasks and ensures timely completion.
  • Communicates project requests and statuses to the Vice President of Operations.
  • Provides business support to staff and management for data and process projects.
  • Collaborates to provide support to animal welfare partners and stakeholders, exchanging ideas, processes, procedures, and information to further animal welfare initiatives.
    •Strong organizational skills and ability to self-direct and effectively manage assignments.

Data and Processes

  • Creates and shares methods and ideas to interpret, organize, and present data and process improvement, including meetings, presentations, and training sessions.
  • Creates and modifies reports to support staff, management, contract partners, and other stakeholders.
  • Creates, reviews, and publishes reports, business analytics, and intelligence for staff and management to support various areas, including business process requirements, problem-solving, media requests, grant requests, quarterly contract reporting requirements for contract partners, and periodic statistical reporting as needed.
  • Champions data integrity culture with staff and management, prepares discrepancy reports and builds tools to prevent and correct inaccurate and untimely data issues.

Application Support

  • Collaborates with staff and management to document, maintain, and implement SOPs, workflows, data views, and dashboards supporting operational business needs and objectives.
  • Provides user-level documentation and training to staff and management to ensure proper use of applications and processes.
  • Provides application and process support to staff and management and collaborates with software vendor application support as needed.
  • Troubleshoots and resolves issues impacting the business applications, services, and processes in an effective and timely manner.
  • Provides knowledge, training, and documentation on the application setup and configuration.
  • Collaborates with organization stakeholders and external resources for information services and business process-related needs and concerns
  • Collaborates with IT support with software issues.
  • Collaborates to maintain and upgrade systems as needed.
  • Helps develop and support data Integration between applications, dashboards, websites, and external partners, e.g., Petfinder, 24PetWatch, DocuPet, Fetch, etc.


Relationships & Communication

  • Works cohesively with all departments of the organization to support operational excellence.
  • Establishes and maintains regular and consistent communication with stakeholders.
  • Actively supports a positive team environment, directly addresses and problem-solves conflict, and appropriately expresses concerns.
  • Is visible to staff, attends and participates in necessary meetings.


Other

  • Commitment to the mission, values, goals, and success of the organization
  • Support Functions (ESF) #11 desk representative at either the City or County Emergency Operations Center (EOC) and is responsible for serving as the liaison between HSPPR, the CART shelter(s), and the Command Staff.
  • Attends EOC-related City and County training, including but not limited to completing the FEMA IS-100.b and IS-700.
  • Perform other duties as assigned

Physical Demands

  • Regularly sits at a computer station, often in a shared office environment.
  • The employee must regularly lift and move 25 or more pounds of moving weight and occasionally lift and move up to 40 or more pounds of moving weight.
  • May be occasionally required to climb or balance, stoop, kneel, crouch, and crawl.
  • Regularly required to sit, reach with hands and arms, talk, hear, and is frequently required to stand and walk. May be expected to be on feet for extended periods.
  • Consistently exposed to animals in the workplace and animal allergens under conditions with limited alternatives available.
  • Specific vision abilities required include close vision, distance vision, color vision, peripheral vision, and depth perception.
  • Regularly exposed to noise and potential exposure to hazardous weather conditions.
  • Potential exposure to cleaning supplies and other substances containing toxic or caustic chemicals

Schedule Requirements

  • Schedule may require weekends and flexible hours.




Education/Experience Necessary

  • Associate's Degree in Information Technology, Computer Science or related field desired. An equivalent combination of education, training, and experience that demonstrates the required knowledge, skills, and abilities considered.
  • 2 + years of experience in project management, data analysis, business analytics, business intelligence, and information systems preferred.
  • Experience in business process analysis and process improvement desired.
  • Experience in animal shelter software and reporting desired.
  • Proficient with Crystal Report writing.
  • Working knowledge of Microsoft Reporting Services (SSRS) preferred.
  • Strong working knowledge and experience with SQL and relational databases.
  • Proficient in using analytical tools and instruments required.
  • Excellent communication and presentation skills required.
  • Prior experience in creating status/statistical reports and training materials.
  • Proficiency with Microsoft Office, SQL Server Management Studio, and other related software
