Provide administrative/project management support for assigned office/department/group e.g. engineering, audit, inspection, sales, etc. The Operations Support Representative will coordinate various projects as required which may include communicating regularly with clients and ensuring services are delivered in accordance with client expectations, within budget, and on schedule.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

Project Manager

  • Scheduling of internal auditors (=> optimize auditor utilization incl. travel routes and times) & adding of external auditors if required
  • Check availability of internal/external auditors
  • Confirm audit dates with customer and auditors
  • Physical scheduling of audits within system and notification to all parties involved.
  • Manage customers database and update as necessary
  • Scheduling of witness audits incl. coordination with customer, int./ext. auditors, and accreditation body
  • Develop new auditors from junior to lead auditor level (e.g. by sending them to audits together with external to capture know-how, but always balancing cost and timeline)
  • Monitor qualification maintenance of auditors
  • Drive order-to-certificate process (=> optimize process quality and lead time)
  • Enter relevant data in systems (e.g. ICMS, accred. body systems)
  • If master data (e.g. street, postal code) are incorrect: start “correction process/cascade”
  • Coordination with TÜV RL subsidiaries worldwide in case of global customers
  • Monitoring of audit due dates & eventually initiating postponement at TÜV-internal Certif. Board (according to business & accreditation rules)
  • Other Duties as Assigned
QUALIFICATIONS & REQUIREMENTS:

Knowledge, Skill, & Abilities

  • Strong project/time management and organizational skills with the ability to work in a fast-paced, multi-tasking environment coordinating multiple and changing priorities
  • Strong verbal, written, and interpersonal communication skills.
  • Ability to work under pressure, carry out urgent requests and meet deadlines.
  • Must be articulate, professional, and be customer service oriented
  • Knowledge of Microsoft Office
  • Knowledge of Microsoft Excel

Education

High School Diploma or equivalent required. Associate Degree preferred.

Experience

2 years related experience, or with HS diploma/equivalent or with Associate degree

PHYSICAL DEMANDS & WORK ENVIRONMENT:

Usual office environment with frequent sitting, walking, and standing, and occasional climbing, stooping, kneeling, crouching, crawling, and balancing. Individual must be able to verbally communicate with visitors, employees, callers, and clients. Frequent use of eye, hand, and finger coordination enabling the use of office machinery and computers. Individuals supporting sales staff may also be tasked with attending trade shows which may involve standing for extended periods of time communicating verbally with potential clients as well as lifting and carrying moderately heavy items.
