Position Summary

The Executive Assistant provides administrative and clerical support services to Executive level management to facilitate the smooth operation of the business and support Empire's vision, mission, and core values.

Essential Functions

Requirements

Responsibilities
  • Provides support services including computer processing, typing, composing, and proof-reading correspondence
  • Acting as a point of contact for the Practice Administrator
  • Manage information flow in a timely and accurate matter
  • Answers inquiries and takes concise phone messages. Refers callers/visitors to appropriate individuals
  • Opens, sorts, and distributes mail appropriately
  • Attends meetings as assigned and reports on actions. Records, transcribes, and distributes meeting minutes
  • Gathers information and develops summaries as requested. Compiles reports from existing records
  • Schedules/coordinates meetings, appointment
  • Manages master schedule for conference rooms
  • Project management for providers, as assigned
  • Coordinates provider and Executive Management activities across multiple entities
  • Makes travel arrangements
  • Maximizes Practice Administrator's time in the most efficient manner
  • Sets up and cleans up conference rooms for meetings as needed
  • Ensures adequate inventory of office supplies and equipment
  • Maintains strictest level of confidentiality
  • Represents company and affiliated entities in a manner that ensures a positive service image and tone for the organization
  • Assists other staff as requested
  • Runs various errands as requested
  • Demonstrate current competencies applicable to the job position
  • Scanning of surgical documents as received by the Surgery Scheduling department
  • Various support duties pertaining to LASIK surgery days

Qualifications
  • Associates degree in Business Administration or related field, preferred
  • Minimum of two (2) years of administrative/secretarial experience
  • One year with a health care organization strongly preferred
  • Typing ability 60 wpm and computer processing experience
  • Occasional travel as needed
  • Clean DMV record

  • Ability to handle multiple projects simultaneously and set priorities
  • Ability to work effectively with physicians, staff, patients, external agencies
  • Maintain knowledge of organization policies, procedures, systems
  • Knowledge of office management practices and secretarial procedures
  • Demonstrates advanced knowledge of computer processing programs, applications, systems, and other software
  • Knowledge of grammar, spelling, and punctuation to type from draft copy, review, edit reports, and correspondence
  • Knowledge of basic arithmetic to make calculations, balance, and reconcile figures, and make changes accurately
  • Demonstrates high skill level in verbal and written communication
  • Demonstrates high skill level in gathering and reporting information
  • Demonstrates excellent time management skills
  • Excellent organizational skills
  • Develop and sustain a level of professionalism
  • Exceptional interpersonal skills
  • Friendly and professional demeanor

Physical Demands
  • Regularly required to sit, stand, walk, speak and hear
  • Sufficient hand dexterity to use a computer keyboard and be capable of reading a computer screen
  • Occasionally lift and/or move up to 20 pounds
