WAGI is seeking a full-time Hospital Scheduler to join our Central Scheduling Team. The Hospital Scheduler is responsible for working directly with the Hospitalist Providers to plan and coordinate the gastroenterology health care for patients who are in the hospital and for patients who are not in the hospital but need procedures done in a hospital setting.
Responsibilities
- Receives incoming calls and tasks from clinic, providers, and/or queu
- Gathers pertinent medical history, present condition, and problem prior to scheduling outpatient procedures for patients
- Verifies demographics, insurance, chart notes, and referrals
- Follows the Scheduling Standards and Exceptions guidelines for each hospital to ensure accuracy
- Follows the guidelines of the individual hospital
- Collaborates with the appropriate hospital personnel in scheduling and preparing the patient for procedures
- Provides detailed explanation to the patient of their responsibility for their upcoming appointment
- Ensures all requirements are complete for each appointment scheduled
- Notifies patients of pathology results as directed by physicians
- Manages follow up care for patients if needed per provider's orders
- Observes patient confidentiality as part of HIPAA regulations
- Monitor changing insurance information and take appropriate action to maintain requirements
Qualifications
Education, Licensure and Certifications
- High school diploma or equivalent required
- Current licensure as a Medical Assistant – Certified or Licensed Practical Nurse in the state of Washington required
Experience
- Prefer a minimum of two (2) years experience in a medical setting
- Prefer a minimum of one (1) year experience of scheduling in a healthcare setting
- Strong knowledge of medical terminology required
Skills and Abilities
- Ability to work independently with minimal supervision
- Excellent verbal and written communication skills
- Strong analytical and problem-solving skills
- Ability to prioritize tasks and to delegate them when appropriate
- Ability to operate a computer
- Proficient in Microsoft Office products, specifically Excel and Word
- Ability to multitask in a fast paced environment
Physical Activities and Requirements
- Prolonged periods of sitting and performing administrative duties including the use of computers
- Repetitive hand movements/typing
- Able to lift and carry supplies and equipment as needed (up to 25 pounds)
This team works primarily remote from home with training conducted onsite in Tacoma. Candidates must reside and work in Washington State and due to unique city ordinances that impact employers, WAGI does not allow anyone to work remotely from Seattle, WA. The following conditions must be met for interested candidates in their remote location:
- Individuals in this position will be working remotely from their homes. This will require that the individual have a location to work from where they are able to ensure the protection of Personal Health Information (PHI), must have the minimum internet connection requirements and surge protection in your home required to utilize systems, and meet the other requirements for the Telecommuting Agreement.
- A home work environment that allows you to work free from distractions and sources of background noise and free of potential hazards including tripping hazards, electrical hazards, etc.
- Ability to secure and protect WAGI supplied computer, phone, and systems and ensure protection of Personal Health Information (PHI)
- Though this position provides the benefit of telework, it does follow a standard schedule based on the hours of operation
