The Position The Arts Programs and Events Coordinator is responsible for providing customer service and operational support for Arts Division programs, concerts, and events as well as general administrative assignments. This position is a contract extended part-time position. Incumbents work 30-hrs per week and receive City benefits.

Examples of Important & Essential Duties (included but not limited to) Coordinate room preparation and breakdown for Arts programs and events, including, but not limited to tables, chairs, stage, and AV equipment. Ensure that event seating and additional equipment adhere to fire code regulations. Act as onsite staff liaison to program contractors, community partners, and participants.

Determine equipment and supply requirements for program activities; obtain and stock supplies as required. Identify, document, and report incidents/accidents as well as opportunities for improving event service and procedures. Perform pre- and post-event facility and equipment inspections.?

Educate and enforce of City of Encinitas rules, policies, and procedures, including, but not limited to safety standards.? Provide staff assistance to the Arts Supervisor(s) and Arts Division management. Communicate daily with supervisors to discuss activities, equipment/personnel problems, and other related issues.

Answer phones and e-mails, tend front desk as needed, and perform other general clerical and administrative duties as necessary. Meet and greet members of the public and provides customer service as needed. Develop reports concerning program effectiveness and identify opportunities for improving service delivery methods and procedures by determining resource needs and/or process revisions; Lead in the training and supervision of subordinate Arts Division staff, volunteers, and independent contractors, and provide input on the performance; educate and administer certifications to staff and volunteers; Prepare program event and facility promotional materials such as newsletters, calendars, fliers, menus and brochures;?

Prepare and presents reports and other correspondence as appropriate and necessary; Coordinate program and event production with those of other divisions and outside agencies and organizations as appropriate; Maintain program files, databases, and records including daily rosters, statistics, program attendance and related documents; Assist in the public education and enforcement of established rules, policies and procedures at City sites and facilities; Adhere to The City of Encinitas and San Dieguito Water District Safety Manual; Use and maintain City vehicles to run errands including picking up program and event supplies, etc.; Perform related duties and responsibilities as required; Attend meetings as required. Uphold safety, sanitation, and hygiene regulations. Minimum Qualifications Equivalent to an Associate's degree from an accredited college or university with major course work in leisure studies, business administration or a related field plus four years of responsible recreation program experience including at least one year of administrative and/or lead supervisory experience.
