We are looking for an Assistant Project Manager to join our Fire Protection Team! The Assistant Project Manager plays a key role in supporting the planning, coordination, and execution of projects within the Fire Protection Group. They will work with multiple project managers across multiple project types and assist with maintaining all project documentation for the project team including the field, coordination, and project management. The Assistant Project Manager is a growth position in which the desire to learn on a daily basis is paramount.

In this role you will:

General

  • Exhibits the value of competencies for the company, department, employees and business partners.
  • Promotes a positive safety culture by adhering to policies and procedures set out by the department.
  • Develop the ability to read and understand project documents including drawings and specifications.

Field Support
  • Ensure Foreman has updated project information (drawings, specs, RFI's, bulletins, submittals, schedules, etc.)
    • Assist Foreman in acquiring any required information to maintain crew efficiency.
  • Review Daily Job Reports submitted by Foreman; assist as needed.
  • Photo documentation of onsite progress on regular basis (weekly ideal; minimum monthly)

Permits
  • Assists PM in researching AHJ requirements, submitting and obtaining project permits (in conjunction with Group Admin, as applicable).
  • Obtain check request & permits.

Buyout and Procurement
  • Solicit bids from vendors/subcontractors and present to PM for review and award.
  • Prepare Purchase Orders for review by the Project Manager
  • Coordinate & release material/equipment deliveries
  • Works with project team to develop Fabrication release schedules.

Contract Documentation
  • Maintain project file structure.
  • Distribute Project Documentation to team.
  • Review & submit RFI's (update drawings)
  • Prepare submittals for processing in CMiC
  • Review/process bulletins (update drawings)
  • Review/manage project punchlist(s).
  • Obtain as-built drawing markups from field foremen and work with coordinators to generate as-built drawings for inclusion into the project closeout package.
  • Prepare project closeout/O&M packages.

Financials
  • Assist in change order request estimates for review by the Project Manager
  • Assist in preparing CECs for processing in CMiC by the Project Administrator
  • Approve project invoices as backup to the Project Manager

Labor Planning
  • Assists PM and Foreman in project labor projections and labor tracking.
  • Maintain timesheet template per project.
  • Confirm correct timesheet entries on weekly basis (i.e. - phase code accuracy)

Meeting Preparation
  • Attend project management meetings with the Project Manager; assist with meeting minutes.
  • Attend coordination meetings with the lead coordinator as required to learn the coordination process; assist with meeting minutes.
  • Assist OM and PM in preparation of project milestone meetings.
  • Assists PM and Lead Estimator in preparing project postmortem.


A successful candidate will have:
  • Bachelors' degree or equivalent relevant experience in related field
  • Demonstrated written and verbal communication skills.
  • Demonstrated presentation skills.
  • Demonstrated high-level problem-solving abilities.
  • Ability to manage shifting priorities in a fast-paced environment.
  • Knowledge/Understanding of mechanical systems or the construction industry is a plus.
  • Software Experience:
    • Microsoft Office Suite
    • PDF Viewer (i.e. Adobe Acrobat, Bluebeam)
    • Microsoft Project or equivalent scheduling software
    • Navisworks


Physical Requirements

Sedentary Work - Exerting up to 10 pounds of force occasionally (Occasionally: activity or condition exists up to 1/3 of the time) and/or a negligible amount of force frequently (Frequently: activity or condition exists from 1/3 to 2/3 of the time) to lift, carry, push, pull, or otherwise move objects, including the human body. Sedentary work involves sitting most of the time but may involve walking or standing for brief periods of time. Jobs are sedentary if walking and standing are required only occasionally, and all other sedentary criteria are met.
