Essential Duties & Responsibilities

  • Establishing and maintaining a trusting and supportive relationship with all patients, leadership, and staff.
  • Qualifying and enlightening patients through education and service
  • Obtain insurance benefit breakdowns specific to orals surgery procedures, both medical and dental
  • Create and present accurate treatment plans based on routed treatment and applying insurance benefits that may apply to a patient’s treatment. Educate patients on their individual coverage and associated fees with their treatment in our office.  Building value in the patient’s experience and service
  • Facilitate patient access to treatment by addressing financial and emotional hurdles
  • Achieve high case acceptance rates through effective communication and support
  • Act as a bridge between patients and healthcare providers, ensuring quality care
  • Maintain regular communication with patients throughout their treatment journey
  • Serve as a liaison between the practice and referral sources
  • Gather and manage treatment acceptance data for analysis
  • Conduct weekly meetings with surgeons to review schedules and address pending cases
  • Maintain recall lists to follow up on unscheduled appointments
  • Track unscheduled treatment reports and proactively reach out to patients for follow-up

Primary Duties

  • Coordinating with the doctor daily regarding the day’s patients
  • Establishing a trusting and supportive relationship with patients at their initial consultation
  • Establishing the patient’s goals and budget
  • Pre-qualifying patients and discussing dental insurance benefits when applicable

  • Educating patients about crowns, bridges, and implants, using digital photographs, intraoral camera photos, and models.
  • Building value in the services needed by the patient regarding the fees
  • Making follow-up appointments if necessary
  • Assisting with exams as directed by the doctor and being present when Oral Surgeon presents a recommended treatment plan
  • Preparing written treatment plans per doctor’s instructions
  • Informing patients about the benefits, risks, and costs of various treatment options
    Presenting fees and giving estimates of treatment and documenting financial arrangements/commitments to pay
  • Obtaining case acceptance by as high a percentage as possible
  • Monitoring implementation of treatment plans to ensure patients are receiving the treatment and service they have been promised
  • Ensure that excellent patient relations are maintained
  • Keeping the doctor apprised of significant developments
  • Enhancing relationships with referring doctors by keeping them abreast of referred cases
  • Tracking patients who have pending and incomplete treatment
  • Following up with patients via letters, telephone calls, etc.
  • Placing courtesy calls to obtain feedback from patients to ensure the surgeon and referring doctor are working together as a team

Financial Responsibilities

  • Must adhere to privacy, confidentiality, and security policies and procedures related to Protected Health Information (PHI) or other sensitive and personal information. 

 

Physical Demands

  • Sit for long periods
  • Stand and walk, climb, stoop, bend and lift up to 25 pounds
  • Talk and hear, both in person and by telephone
  • Use hands to operate, handle or feel office equipment; and reach with hands and arms
  • Specific vision abilities required by this job include close vision and the ability to adjust focus

Education/Training


  • Two or more years of experience working with patients discussing estimates responsibility and verifying insurance plans.
  • Demonstrated customer service and communication skills
  • six months of experience in general treatment coordination duties; or an equivalent combination of training and experience.

Decision Making

The Treatment Coordinator assists the patient in making informed decisions about how to achieve their oral surgery goals.

The Treatment Coordinator provides insight to the doctor regarding the patient's needs.

 

Equipment Used

Multi-line telephone system and handle a high volume of calls with courtesy

Computer and other standard office equipment
Type with speed and accuracy

 

Communication

The Treatment Coordinator is regularly required to:
• Work on multiple concurrent tasks with constant interruptions
• Read and interpret documents and information
• Use oral and written communication skills
• Interact with staff, doctors, patients, other offices, the general public, and others encountered in the course of work, some of whom may be dissatisfied and/or abusive individuals.

 

The Treatment Coordinator must be able to work independently with general supervision, and understand and carry out written and oral instructions.
