Job Title - Mortgage Specialist - Final Documents


Job Summary:

Responsible for obtaining required recorded and final mortgage documents post-closing. Follows-up to ensure timely receipt of all final documents to meet investor guidelines. Reviews for accuracy, files and forwards all necessary documents to various investors as applicable. Performs various mortgage servicing duties as detailed below.

General Description/Duties:

  • Receives incoming final documents digitally and through various mail sources.
  • Performs a quality control review of the incoming final documents and determines if any updates or corrections need to be made for complete accuracy. Works with internal departments and attorney offices to cure defects found.
  • Follows up with closing attorneys to obtain outstanding QM and Freddie Mac final documents.
  • Provides a monthly final document exception report to management for review.
  • Creates and files original final documents for internally serviced mortgage loans in the Mortgage vault. Scans and images documents to the loan utilizing Synergy Capture.
  • Performs a yearly vault audit on a random sampling of loans to ensure all required documents are in file per investor and bank guidelines.
  • Responsible for preparing cancellation documents for paid off loans weekly. Utilizes the Georgia Superior Court Clerk’s Cooperative Authority electronic filing portal to submit deed cancellations for all participating counties. Maintains a Cancelled Deed Log.
  • Mail cancelled Deed to the customer.
  • Serves as a backup for various functions to include but not limited to shipping closed loans to investors to secure funding and to meet lock expirations. Export new loans from the loan origination system, upload the loans to the core system, maintenance the loan for accuracy and key the appropriate GL and loan transactions.
  • Answer incoming customer service calls and satisfy customer requests to include but not limited to amortization schedules, payment posting issues, payoff quotes, general loan information, providing copies of requested loan documents, re-amortization inquiries, property release requirements, cancelling PMI inquiry, escrow analysis questions, hazard insurance and disaster claims and general servicing inquiries.
  • Attend annual regulatory training for escrow accounts and servicing as assigned. Participate if training modules and webinars offered by Freddie Mac, MI companies, and other 3rd party partners.
  • Position will be required to comply with all Federal and State banking laws and related regulations.
  • Performs other work-related duties as assigned by supervisor.

Requirements:

  • High school diploma or equivalent required.
  • Additional education in a business-related field or equivalent related work experience preferred.
  • Previous mortgage final document experience preferred.
  • Knowledge of investor regulations preferred.
  • Microsoft Excel proficiency required and proficient computer skills, working with spreadsheets, word processing, utilizing the internet/intranet, and the ability to learn new technology.
