ACCOUNTING SPECIALIST

The Accounting Specialist will be responsible for monitoring the outflow of capital for the company. This position is a full-time non-exempt Accounts Receivable/Payable role that involves processing all accounts payable duties for the company, as well as handling reconciliations and reporting for month end close. The right candidate for this role should have at least 3 years of accounting experience, 1099 reporting knowledge, and general ledger reconciliation.
Duties/Responsibilities:
• Receives and verifies expense reports; reconciles expense and other financial reports with account balances and other office records. Reviews, verifies, and organizes invoices and expense reports for approval
• Resolves invoice and purchase order receipt discrepancies
• Maintains appropriate documentation of all processed invoices
• Maintains the AP inbox while keeping emails organized
• Responds to vendor and internal staff inquiries in a timely manner
• Moves invoices out for review and approval
• Maintains/files electronic records
• Maintains vendor accounts by responding to vendor/payee inquiries and reconciling statements
• Facilitates payment of vendors, which may include verification of federal ID numbers, reviewing purchase orders, and resolving discrepancies.
• Ensures outstanding obligations are credited upon payment, identifies discount opportunities, and issues purchase order amendments or stop-payment orders as needed.
• Assists with accounting records and ledgers by reconciling monthly statements and transactions.
• Records entry of, verifies documentation for, and distributes petty cash.
• Calculates and reports sales tax based on paid invoices.
• Other related duties as assigned.
Job requirements:
• 4 day work week
• Accounts Payable: 1-2 years (Preferred)
• Accounting Experience: 2-3 years (Preferred)
• Proficient in Quick Books, Microsoft Office, Excel, Word, Outlook, and Other accounting software
• Good analytical and problem-solving skills
• Excellent organizational skills and attention to detail
• Certified Accounts Payable Professional (CAPP) certification a plus
• Working knowledge of Cost Accounting principles
